Position Summary
The paramount responsibility of every employee is to adhere to, and promote, our organizational Vision
and Mission Statements.
The Scheduling officer will utilize the Scheduling database to ensure the people we support have the
necessary staff supports in place at all times. They will backfill all shifts requiring attention by contacting
staffing personal by following the procedure described in the Collective Agreement. They will liaise with
the Program Managers to ensure extra coverage is provided as necessary.
The Scheduling Officer must work in compliance with the provisions of the Occupational Health and
Safety Act and with the Social Inclusion Act, 2008 and its Regulation 299/10.

**Qualifications**:
1. Completion of college diploma equivalent in related field
2. Valid driver’s license and access to a personal vehicle
3. One year experience in a similar role
4. Collaborative approach to working, able to work alone or with a team
5. Self
- motivated with excellent planning, organizing and time management skills
6. Must be resourceful, professional, confident and courteous at all times
7. Ability to adapt and respond quickly to changing situations
8. Strong communication skills (written and oral) and administrative skills
9. Intermediate or higher level computer skills (i.e. Microsoft Office, Scheduling database)

Role Competencies
1. Documents and Communicates Information Accurately & Completely
1. To be an expert at the Scheduling database
2. Backfill shifts utilizing the scheduling database and following the steps outlined in the Collective
Agreement
3. Responsible to answer calls from staff reporting their absence
4. Accurately record reasons for staff absence from work
7. Demonstrate creativity in filling shifts when there is nobody able to cover a shift
8. Collaborate with Managers when sites do not have adequate coverage
9. Reflect shift exchanges on the schedule
10. Offer first right of refusal to full time staff for statutory holidays
11. Ensure part time staff have one critical period shift as outlined in the Collective Agreement and
have the Christmas schedules completed by November 15th

**Working Conditions**:
1. The incumbent must be able to prioritize, plan and organize work to complete scheduled tasks
despite frequent distractions and interruptions.
2. The incumbent must be highly organized, versatile and innovative in order to manage the volume
of work and various deadlines.
3. The incumbent will have frequent contact with people who have a developmental disability.
4. The incumbent will communicate regularly with individuals at all levels internally and on
occasion with external organizations.
5. The incumbent will spend long hours sitting and using office equipment and computers, which
may cause muscle strain. This person may also have to do lifting of materials from time to time.
6. The incumbent must spend long hours in intense concentration.

**Hours of Work**:
The Scheduling Department will work 6:45am-2:45pm, typically 6:45am-2:45pm Thursdays and two out
of six weekends.. The schedule of work will conform with the Employment Standards Act but may
otherwise be determined by the HR Manager.
