Client Service Team Assistant

The Client Service Intake Coordinator - Under the direction of the Immediate Supervisor, is responsible for timely data entry of all client referrals and updated information.

DUTIES AND RESPONSIBILITIES:
Monday to Friday 9:30am - 5:30pm

Will be part of a rotating schedule every 3rd week for work on Saturday and Sunday
- Handle and document prospective client inquiries regarding requests for care and service
- Monitor task alerts daily for follow up and completion
- Manage HomeFirst messages for follow up and completion
- Manage Exception Reports from Shared Services
- Support Intake Coordinator with managing HomeFirst when needed
- Complete data entry and maintain accurate current careplan and scheduling documentation
- Handle and monitor discharges and holds
- Maintain filing for all client charts
- Organize and supervise all incoming referrals and memos
- Receive priority referrals by phone from AHS
- Assess information received for errors and notify AHS case manager with any discrepancies
- Accurately monitor and maintain field staff work alone safety legislation.
- Adhere to Bayshore Policies and Procedures.
- Participate in quality activities and continuous improvement initiatives in keeping with the company's Quality Management System.
- Participates in proactive Health & Safety activities while performing all duties. Is responsible to notify immediate Supervisor of any Health & Safety risks or concerns.
- Maintains confidentiality of client and corporate information and discusses same only with appropriate Bayshore personnel.
- Reception relief as needed.
- Complete other tasks as requested.

Job Qualification

Education
Minimum - Secondary School Diploma. Completed of a recognized program such as Medical Office Assistant and/or a Medical Terminology course is preferred.

Experience
Minimum of 2 years related customer service experience, preferably in healthcare.

Other Skills and Abilities
Exceptional organizational and interpersonal skills. Capable of prioritizing a variety of tasks effectively. Proven ability to work both independently and as part of a team. Ability to meet deadlines and strong commitment to continual learning. Demonstrated competency in keyboarding and Windows software. Ability to operate all standard office equipment. Proficiency in written and spoken English.
