**1. General**

The incumbent of this position is directly responsible to the Visitor Experience Supervisor. The incumbent operates the central switchboard and is one of the primary contacts for the general public with the Museum. As secondary duties, the receptionist will provide administrative support to the Visitor Experience Supervisor and other departments. Initiative is required in determining work priorities. Courtesy, tact and good judgement are required in dealing with the public and staff, according to our visitor service standards. Fluency in both official languages is required for this position.

2. **Key Accountabilities & Typical Duties**:
**Priority 1: Liaison with The Public and Staff - (30%)**

Visitors - To be a good ambassador for The Manitoba Museum by welcoming visitors and answering their enquiries in a friendly and competent manner, thereby creating a positive experience for them.

Museum Staff -To coordinate the flow of basic operational information between departments (i.e. vacation schedules, meetings in progress, etc.) and front-line staff, in order for staff to have the information they need to perform their duties.

i. Welcome and greet visitors, answer their enquiries and provide information in both official languages on Museum, Science Gallery and Planetarium programs and activities.

ii. Operate the switchboard and answer phone calls.

iv. Relay visitor messages to staff.

v. Relay information from departments to front-line staff.

vi. Connect visitors coming for meeting(s) to respective staff members and departments, ensure they sign in and are assigned an appropriate badge.

vii. Assist Visitor Experience Associates in reducing line-ups by answering questions and directing visitors to where their needs can be met faster.

viii. Provide crowd supervision and direction for the general public.

**Priority 2: Administrative Support (40%)**

To provide required administrative support for various roles and departments so they can function more efficiently.

i. Maintain an up-to-date activity list of Museum and Planetarium programs and schedules in our ticketing and reservation software, PL Schedule, etc.

ii. Provide administrative support to Visitor Experience Supervisor and other departments including but not limited to compiling data (PL attendance, complimentary ticket tracking), maintaining RSVP lists, distributing and preparing donation packages.

iii. Provide administrative support to Manager of Rentals & Events in respect of responding to event inquiries and identifying potential group tour prospects.

iv. Enter/adjust the school, group tour and sleepovers reservations.

v. Coordinate and respond to donation requests by creating packages, corresponding with the contacts and organizing donation pick-ups.

vi. Act as liaison between the Museum and Canada Post and process outgoing mail on a daily basis.

vii. Organize parcel delivery and pickup.

**Priority 3: Publication and Display (10%)**

To advocate for Manitoba tourist attractions through the promotion, display and distribution of printed materials

i. Coordinate with tourism organizations for the order and delivery of their printed materials for display at the Museum.

ii. Display tourism brochures on racks at management-specified locations within the Foyer.

iii. Encourage visitors to browse through the Manitoba tourist destination display.

**Other Duties as Reasonably Assigned (20%)**

i. Act as Reservations Coordinator when the incumbent is on vacation or extended leave.

ii. Act as Visitor Experience Associate when the need arises due to breaks (coffee and lunch) or absences.

**MINIMUM REQUIRED QUALIFICATIONS**:
**1. Skills, Abilities and Knowledge**

i. Ability to interact with staff and the general public in a courteous, tactful and helpful manner.

ii. Ability to operate a switchboard.

iii. Accurate keyboard skill of 40 W.P.M.

v. Ability to work independently and in an organized manner.

vi. Knowledge of necessary business demeanour including conscientiousness, reliability and punctual attendance.

vii. Fluency in both official languages**.**

**2. Education, Training and Experience**

i. Grade XII education, and

iii. Two years experience in a business environment including the operation of a switchboard, or

iv. Equivalent combination of education and experience.

This is a 0.8 FTE term position (four days a week
- Tuesday to Friday) from June 1, 2023 to November 30, 2023, and 0.4 FTE term position (two days a week
- Tuesday and Wednesday) from December 1, 2023 to March 31, 2024. The incumbent will report to the Visitor Experience Supervisor. Wage range is $18.18 to 23.01 per hour depending on experience.
