**Position Summary**:
Support Staff Temporary Full-time Appendix D Contract Position (January 2025 - October 1, 2027)

The Program Assistant will provide administrative support to the Personal Support Worker (PSW) Division in the School of Health & Life Sciences. The incumbent will assist with organizing and expediting administrative procedures and paperwork. They will manage loading and scheduling requirements, developing and monitoring part-time contracts and provide enrolment support to the Chair and Coordinators for incoming and returning students. Additionally, the Program Assistant will triage inquiries from students and parents and support the Chair and faculty with various administrative tasks. This includes liaising with the administrative support team in the School while fostering an environment of teamwork and customer service. The incumbent will also be assisting with program advisory committees for the School.

**Responsibilities**:

- Develops and maintains strong knowledge of the Division’s programs to organize, develop and expedite administrative procedures and paper flow ensuring the efficient operation of academic activities related to full-time programs within the Personal Support Worker Division
- Implements a range of program set-up activities including loading information onto and accessing information from the Student Information System (SIS), course loading, online book orders, scheduling, generating SWFs (Standard Workload Formula), SATs (Student Appraisal of Teaching), updating Student Handbooks, KPI (Key Performance Indicator) administration and analysis, etc.
- Provides administrative support and acts as the Program Advisory Council (PAC) assistant for program advisory committees in the School of Health & Life Sciences
- Develops and employs an understanding of staffing plans for programs and contract procedures to create contracts and monitor payroll submissions
- Reconciles hourly work submitted by part-time faculty vs. hours scheduled by Coordinators
- Displays sound knowledge of programs to provide enrolment support to the Chair, Program Coordinators, Supervisor, and Practicum Services for incoming and continuing students, pulling information from SIS and liaising with the Registrar’s Office
- Responds to inquiries from students, employees, and the public, advising on policies and procedures or redirecting inquiries to other areas, as appropriate
- Supports the Chair in managing internal/external inquiries and meeting and project commitments; supports faculty and Coordinators with specialized word processing/formatting and graphic needs and supports part-time instructors by providing orientation information received from the Chair
- Maintains filing system for the division with coordination of systems for business and student files per College and School expectations
- Attends various sessions/meetings (e.g., registration, orientation), and prepares materials for events such as College Fair, Explore Conestoga, and faculty/program meetings

**Qualifications**:

- Two-year diploma in Office Administration, Business Administration, Office Systems, or related field of study is required
- Minimum two years of relevant administrative experience is required; experience in a post-secondary education environment is preferred
- Excellent organizational skills to manage workload and deadlines
- Excellent analytical skills and ability to work with detail
- Ability to utilize computer tables, columns, mail merging, and databases
- Excellent communication and human relations skills to communicate tactfully, courteously, and effectively
- Problem-solving ability and evaluation skills are required to understand and respond efficiently and appropriately to questions
- Ability to work under pressure and on multiple tasks simultaneously
