The Fleet Support Analyst is accountable for the administrative support required to deliver Fleet’s Supply, Service and Support processes. Reports the ongoing effectiveness of various procedures, fleet and facility replacement policies and strategies by using cost accounting methods and developing justification and documentation for recommendations. The position reports to the Fleet Support Supervisor and works with the Fleet Manager, Fleet Maintenance Supervisor, mechanics, fleet equipment users, accounting, and various suppliers - any of whom could be stakeholders or customers. Responsibilities
Assist with the fleet operating budget, annual budget planning as well as provide monthly updates on actuals versus budget including monthly close activities including journal entries, intercompany balancing, general ledger research, variance analysis, and internal control reporting.
Analyze, troubleshoot, correct, project and communicate the status of fleet’s finances (CAPEX & OPEX).
Ensure the accuracy and consistency of fleet cost coding as well as the distribution of fleet costs in SAP.
Ensure corporate compliance with the Motor Vehicle Act (i.e. Section 37, National Safety Code) and Occupational Health and Safety Regulations.
Coordinate license, insurance and permit renewals and distribution.
Administer fleet management systems, including Holman/ARI and AVL.
Provide administrative support and various financial, operational and environmental reporting for corporate, fleet related items such as fleet inventory control, fuel maintenance cards, vehicle acquisition and disposal, taxable benefits for personal use of company vehicles, mileage and fleet safety initiatives.
Provides support to the Manager to develop policies, procedures, and process improvements to assist with proper fleet and facility maintenance, performance tracking activities, and leading new initiatives.
Responds to general enquiries and complaints relating to Fleet vehicles. Maintains and updates fleet database and vehicle record and prepares new vehicle status reports
Fleet acquisitions tracking
Assist with the acquisition, maintenance and disposition of FortisBC Fleet vehicles and equipment including automobiles, trucks, construction equipment and trailers.
Coordinates vehicle replacements by analyzing vehicle odometer readings and age and incorporates vehicle and upfit costs for annual budget process. Reconciles vehicle capital costs between fleet management numbers and actual approved invoices quarterly.
Analyzes the utilization of fleet units and makes recommendations for discontinuance and reassignment of units, or rental of infrequently used equipment. Analyzes and determines economic point of replacement for each equipment type and year.
Other duties as required. Other Qualifications
Business Administration or Finance diploma
Minimum 3 years of progressive experience in a in a utility fleet, fleet management environment or business environment. Experience with the Motor Vehicle Act(s) and Occupational Health and Safety Regulations is an asset.
Proficient with computer systems and related programs including Word, Excel, Access, PowerPoint and MS Outlook. Working knowledge of SAP and Power BI is an asset.
Strong verbal and written communication skills.
Attention to detail with strong numerical and analytical skills.
Proven organizational skills and ability to multi-task.
