**JOB DESCRIPTION**

**TITLE**: Homecoming Coordinator, Buxton’s 100th Homecoming Celebration

**DATE**: April 17, 2023

**SUMMARY**:
The Homecoming Coordinator will be responsible for coordinating all aspects of North Buxton’s 100th Homecoming Celebration. The Buxton Homecoming Celebration is a multi-day outdoor event held annually on Labour Day Weekend, which attracts thousands of individuals from across Canada and the United States. Descendants of former enslaved people have made this weekend comparable to a pilgrimage “home” where memories are rekindled, ties and acquaintances are renewed.

The success of the 100th celebration will be accomplished by the Homecoming Coordinator having excellent time management and communication skills and working collaboratively with and taking direction from the Museum Curator and Assistant Curator, as well as the Homecoming Planning Committee and Sub-Committees (sponsorship, fundraising, social media). The use of project management and event planning tools, technology and equipment will be fundamental and critical to carrying out the responsibilities of this role. While much of the work required can be completed remotely, in-person attendance at meetings, and to coordinate with Museum staff will be required from time to time.

**Responsibilities include, but are not limited to**:

- Ensuring the success of all aspects of the 100th Homecoming Celebration by planning and organizing all homecoming events, in collaboration with Committees and Community Groups, including budgeting, scheduling, and the coordinating of all logistics.
- Coordinate, plan, attend all regular meetings (at least monthly, more frequently as the event gets closer) of the Homecoming Planning Committee, Sponsorship Subcommittee, Social Media Committee, Parade Committee, etc. Also prepare and distribute minutes and reports.
- Creation and implementation of Communications, Social Media and Marketing Strategy. Ensure that event details are communicated to all stakeholders, attendees, vendors, staff, and committees.
- Preparation of web content, social media content, marketing materials.
- Soliciting quotes from vendors, performers, suppliers, etc. Coordinate with vendors and suppliers to secure event materials, equipment, and services and ensuring timely pre and post payments are made to vendors.
- Volunteer recruitment, training, and management.
- Assistance with grant proposals and associated reporting.
- Meeting tight deadlines.
- Create and manage budgets, ensuring that expenses stay within budgetary constraints and work with Treasurer to ensure all payments are made in accordance with contracts and agreements.
- Manage on-site event operations, including setup, execution, and breakdown.
- Evaluate event success and identify areas for improvement in a final report.
- Assist with final reporting for grants and acknowledgement of sponsorships and donations.

**Job Requirements**
- Must have a valid driver’s license.
- Access to a vehicle.
- Have a laptop computer.
- Must be available to work on August 31 through to September 5, 2023 inclusive.
- Expect long hours during the week and weekend of the Homecoming Celebration.
- Proper back up and file sharing protocols.

**Qualifications**
- Experience in planning and coordinating events.
- Previous experience volunteering with Homecoming, or connection to the community of Buxton is preferred.
- Computer proficiency
- Graphic design experience an asset
