**The Erie Shores Health Foundation is currently seeking a Temporary Full Time Administrative Assistance for a three month contract.**
Reporting to the Interim Chief Executive Officer (CEO) of the Foundation the Administrative Assistant will be responsible for the facilitating of the Foundation Office. The Administrative Assistant will provide administrative assistance and secretarial support to the Erie Shores Health Foundation team and volunteers in reaching their goals and objectives.
**ESSENTIAL JOB FUNCTIONS**
- Report for work regularly and set a personal example in discharging responsibilities in due diligence
- Promote innovations and set a personal example of continuous improvement and be result oriented
- Provide administrative support to the Interim CEO, Committee Chairs and members of the team including general correspondence and scheduling.
- Prepare committee and fundraising materials
- Answer telephone calls to the Administration office
- Review, prioritize and process secretarial required and ensure work completed in a proper and timely manner
- Manage the calendar of the interim CEO (including scheduling meetings, teleconferences, etc.);
- Manager calendar bookings for the Board and various committees
- Provide administrative support for committees and work groups as required in partnership with Donor Relations Co-coordinator, i.e. preparing agendas, minutes and agenda materials, copying, collating and distributing agenda packages
- Manage Administration correspondence
- In partnership with Donor Relations Co-coordinator facilitate donation acknowledgements and record keeping. From time to time assist with gift processing and registrations.
- Meet daily production requirements including photocopying, faxing and filing
- Ensure documentation is maintained in the filing system (paper and electronic)
- Order and maintain inventory of office supplies
- Ensure Administration equipment is functioning properly and is in good repair
- Provide effective liaison between the interim CEO & their clients
- Undertake administrative projects as assigned by the interim CEO
- Develop and maintain a working relationship with all groups within the Foundation through effective verbal and written communication
- Perform any duties that may be assigned from time to time
**QUALIFICATIONS**
- Post-secondary education in Administrative or related studies required
- Bachelor’s degree preferred
- Minimum of two (2) years of administrative experience required
- Exceptional organization and time management skills in a fast paced environment
- Able to be assertive in managing time when necessary
- Flexible, responsive and highly adaptable to change
- Able to complete work with mínimal direction/instruction, with demonstrated ability to take initiative
- Experience with information management systems for projects and/or department, including records management; willing to train
- Strong analytical and problem solving skills, with a keen attention to details
- Able to maintain a high standard of confidentiality
- Exemplary interpersonal skills with particular emphasis on customer service
- Excellent business communication skills, both verbal and written and the ability to communicate effectively with all stakeholders.
- Strong computer skills using MS Outlook, MS Word, MS Excel, MS PowerPoint and databases
