About the Role:
Reporting to the Senior Manager, Customer Technology Asset Management, the Innovation & Project Coordinator provides support to, and liaises directly with, Senior Leadership Team, management teams, external vendors and internal departments regarding Capital costs actuals to budget and control spend through tracking of a robust PO system. Responsibility includes maintaining a PO system that will track all the Capital spend for MediSystem Pharmacy by organizing and developing process and procedures to manage requests from business before purchases are made. This includes but not limited to handling requisitions, issuing POs, reconcile vendor invoices to POs issued, and send to parties for necessary approvals before forwarding to AP for payment. The Innovation & Project Coordinator ensures the development of long term and annual objectives are met and costs are aligned with plan.

Key Responsibilities:

- Reconcile vendor invoices prior to sending to necessary approval levels.
- Work effectively with all MediSystem Teams as necessary to code & process invoices in a timely and efficient manner.
- Completes all duties to ensure invoices are matched with purchase orders, coded and submitted to AP.
- Address inquiries received from vendors and internal departments in a timely manner.
- Receives, organizes, and files all supplier invoices and related accounts payable documentation.
- Participates in any other special projects undertaken by department as necessary.
- Participates in training when there are system or process changes.
- Track fixed assets using Asset Tracking System - WASP Asset Tracker.
- Maintain and updates inventory records.
- Reconcile system and physical inventory.
- Investigating root cause and making necessary adjustments when discrepancies between system and physical inventory are found.
- Receive and respond to asset / invoice inquiries and contacts in a timely manner.
- Ensure purchasing tasks are completed and timelines met so that homes can receive their products on time and properly implement assets within homes.
- Maintain accurate records of all inventories within homes, warehouse and operational sites on WASP - tracking software.
- Shipping & Receiving: Employ sound management practices to ensure merchandise is properly received, accounted for, tagged properly, and made available on a timely basis.
- Inspect merchandise received for damage, imperfections, or other defects.
- Verify warranty coverages for Fridges and pill crushers. Coordinate replacements or purchase new when necessary.
- Oneposting system: Work closely with all operational sites to resolve billing rejections and re-submit billings for rejections that are corrected.
- Oneposting system: Rectify quarantined and items for attention inbox.

Skills and Experience:

- Post-secondary education equivalent to a university degree or College Diploma
- Good understanding of basic accounting principles
- Effective communication skills both written and verbal
- Ability to organize and prioritize work, manage multiple priorities, meet deadlines and create schedules
- Strong computer skills in Word, Excel, Access and PowerPoint
- Professional, enthusiastic, dependable, flexible
- Ability to work in team environment
- Excellent organizational skills and strong interpersonal skills
