**Job Summary**

**What you will do**
- Acts as the first point of contact for the department. Communicates with students, staff, faculty and general public.
- Performs clerical duties such as sorting and distributing incoming mail, preparing outgoing mail, receiving courier deliveries, photocopying/faxing, filing, scheduling appointments, meetings, and booking rooms.
- Maintains inventory of general office supplies.
- Completes the sub-tenancy, assignment agreements and performs the agreement paperwork interview.
- Prepares key packages. Issues and tracks keys provided to authorized individuals and reconciles key returns.
- Maintains lease, landlord contract, and accommodation listing service files.
- Prepare invoices for routine charges (lock-outs, lock changes, after hour call-ins, plugged toilets, etc.).
- Processes information received from other staff including coding, recording, verifying data, and confirming completion.
- Receives rental payments and related fees.
- Balance cash drawer float daily.
- Other duties as required in support of the department and/or unit.

**Required Education**
- One-Year Post Secondary Certificate or Diploma.

**Required Experience**
- More than 6 months and up to and including 1 year of experience.
- Experience with providing administrative support considered an asset (e.g., document editing, proofing, formatting and production, data entry, scheduling/coordinating meetings and/or travel arrangements, receiving/relaying messages, etc.).
- Experience working in a comparable client-focused environment considered an asset

**Required Licenses and Certifications**
- Satisfactory Criminal Records Check required.
- Vulnerable Sector Screening required.

Consideration may be given to an equivalent combination of education and experience.

**Job Knowledge and Requirements**
- Basic knowledge of standardized, work procedures, general facts, or the use of simple equipment that is typically acquired through on the job training.
- Provide clear, concise information to others that requires basic courtesy and mínimal explanation or interpretation.
- Ability to relay unwelcome information or deal with minor conflicts/complaints.
- Prioritize own work to deliver objectives on time and to meet standards and expectations.
- Follows direction and seeks clarification when required.
- Resolve recurring problems and situations using established procedures and guidelines.
- Bring forward problems, obstacles or challenges to work completion in a timely manner so deadlines continue to be met.
- Awareness of human rights, diversity, equity, Indigenization and inclusion.
- Understand university specific processes and policies to address human rights or equity concerns.
