Job Summary

This position supports the day-to-day administration of purchasing activities for Reko Automation. Reporting to the Senior Purchasing & Outsource Coordinator, this role processes purchasing requests, obtains quotations, issues purchase orders, maintains accurate records, and follows up with suppliers to help ensure materials and services arrive when required. The role works closely with suppliers and internal teams, provides support for spare parts, shipping, customs, and related documentation, and serves as a backup resource to the Senior Purchasing & Outsource Coordinator to help maintain continuity across purchasing, outsourcing, and logistics activities. Key Responsibilities

Purchasing Administration

  • Receive and process material requisitions, bills of materials (BOMs), and purchasing requests.
  • Solicit supplier quotations and summarize pricing, lead times, and terms for review.
  • Issue purchase orders following established approvals and maintain accurate records in the ERP system.
  • Track the delivery status of purchased materials and services and follow up on shortages, late deliveries, and supplier commitments.
  • Coordinate purchases for materials, shop supplies, office supplies, spare parts, and service-related requirements.
  • Maintain organized purchasing files, supplier records, pricing, and supporting documentation.

Supplier Coordination

  • Maintain positive, professional communication with suppliers and service providers.
  • Assist with supplier performance tracking related to quality, delivery, and responsiveness.
  • Support sourcing activities and research alternative suppliers as directed.
  • Escalate supplier, pricing, quality, or delivery concerns to the Senior Purchasing & Outsource Coordinator.

Spare Parts & Shipping Support

  • Assist with spare-parts inquiries, quotations, purchase orders, procurement, records, and shipments.
  • Work with internal teams and external suppliers to help identify and source replacement parts for custom automation equipment.
  • Provide administrative support for outbound shipments, freight coordination, and customs documentation as required.
  • Maintain accurate spare-parts and shipping documentation and provide status updates to the appropriate contacts.

General Support

  • Work closely with the Senior Purchasing & Outsource Coordinator to manage daily priorities and departmental workload.
  • Provide general administrative support and assist with special projects as required.
  • Serve as a backup resource to the Senior Purchasing & Outsource Coordinator during absences or periods of high workload.
  • Provide backup support for purchasing and outsourcing follow-up, spare-parts coordination, outbound shipments, freight arrangements, customs documentation, commercial invoices, and related records.
  • Maintain sufficient cross-training and working knowledge of departmental processes to support continuity and respond to routine supplier, carrier, customer, and internal inquiries.
  • Escalate complex matters involving tariffs, duties, customs compliance, trade classifications, or import/export requirements to the Senior Purchasing & Outsource Coordinator or Purchasing & Supply Chain Supervisor.
  • Perform other duties as assigned.

The Value You Bring to Our Company

  • Post-secondary education in Business Administration, Supply Chain Management, Logistics, or a related field is preferred.
  • Two or more years of experience in purchasing, logistics, customer service, or administration within a manufacturing environment is preferred.
  • Basic understanding of purchasing and procurement processes.
  • Strong organization, attention to detail, communication, and follow-up skills.
  • Proficiency with ERP systems and Microsoft Office applications, particularly Excel, Outlook, and Word.
  • Ability to work independently, manage multiple priorities, and meet deadlines.
