Position Summary
The HR Program Coordinator provides essential administrative and program support to the Manager HR Programs in delivering and maintaining TIC Solutions’ Total Rewards programs. The role focuses primarily on the day-to-day coordination of benefits administration, compensation program support, and special HR projects across the organization. The Coordinator ensures accuracy in data management, compliance with internal processes and regulatory requirements, and the smooth execution of HR initiatives that enhance employee experience and operational efficiency.
Role Details: This role is required to be in the Sherwood Park office 4-5 days per week
Responsibilities
Benefits Administration
- Support the Manager HR Programs in the administration of employee benefits programs, including health, dental, life, disability, and group retirement savings plans.
- Liaise with employees, disability case managers, HR Business Partners, and operations leaders to support the medical leave of absence process from initiation through return to work, maintaining confidential records and ensuring compliance with company policies.
- Partner with the HR Service Center and HR integration teams to ensure accurate and timely processing of benefit transitions, enrollments, changes, and terminations, and act as an escalation point for complex or non-routine inquiries.
- Maintain accurate benefits-related documentation, plan summaries and guides, and ensure content is current and compliant.
- Support employee education initiatives to improve understanding and engagement with benefits programs.
Compensation Program Support
- Assist with maintaining and updating non-union and union compensation matrices and documentation.
- Partner with people leaders and HR Business Partners to draft, standardize, and update job descriptions across all departments.
- Maintain a centralized organizational job description library to ensure role clarity and accurate job leveling.
- Support project implementation for annual merit increase cycles, bonus processes, and short-term incentive programs.
- Support compensation benchmarking and data collection for annual reviews and salary adjustments.
- Help prepare reports, analyses, and presentation materials for compensation planning and audits.
- Coordinate with HR Business Partners and Payroll to ensure consistency and accuracy in compensation data.
HR Projects & Program Support
- Provide coordination and logistical support for HR initiatives and special projects, including total rewards, performance management, and employee engagement programs.
- Assist with project tracking, communications, internal resources and materials, and reporting to ensure timely completion of deliverables.
- Maintain shared files, program documentation, and HR records to support audits and compliance.
Administrative Support
- Process invoices, track budgets, and support vendor management activities.
- Draft internal communications, reports, and updates for HR Program Manager review.
- Ensure adherence to confidentiality and data integrity standards.
Other work duties as assigned.
Requirements
- Knowledge of benefits administration and general compensation practices.
- Strong organizational and time management skills with attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with discretion.
- Strong analytical and problem-solving abilities.
- Working knowledge of Microsoft Office Suite including Outlook, MS Excel, and Word, PowerPoint. Intermediate Excel skills (Pivots, V-Lookup) required.
- Excellent clerical skills including word processing and basic analytical and statistical skills.
- Sound knowledge of Human Resources practices, policies, and procedures
- Associates or Bachelor’s degree in HR, Business, or related field preferred.
- Minimum 2+ years of experience in benefits administration or related HR functions.
- Experience working in a multi-site or unionized environment considered
