We are also proud to be named Canada’s Most Admired Corporate Cultures for 2023 and 2024 Learn more at shn.ca Position Overview The Scheduling and Workforce Optimization Partner actively facilitates Scarborough Health Network’s scheduling processes with the goal that all areas are adequately staffed in an operationally safe and cost‑efficient manner at all times. The partner acts as a scheduling business partner, using expertise in strategic scheduling to assess and make decisions collaboratively with operational leadership teams across a defined portfolio to ensure adherence to appropriate collective agreements, scheduling policies and models of care. They will interface with Scheduling and Staffing Office Clerks to collaboratively manage staffing workflows as required, and work in collaboration with Human Resources Business Partners as needed. Responsibilities Workforce Design: Proactively support unit managers and Scheduling and Staffing Clerks to establish and maintain effective staffing models for service delivery in their specific units or departments. Ensure optimal use of relief staff and advise on the full‑time, part‑time and casual mix. Scheduling: Provide consultation and support to managers and Staffing Clerks in rotation‑management techniques to optimise resource utilisation. Analyse current rotations, review, plan and build optimised rotations, facilitate change, advise on best practice and liaise with stakeholders to achieve optimal results. Maintain knowledge of scheduling rule changes, best practices and technological changes. Analytics and Reporting: Support scheduling analytics and reporting for the portfolio. Conduct quantitative analysis to support decision making, identify opportunities and create practical recommendations to operational leadership for improvements. Use scheduling data to address staffing model and unit/department‑level workforce planning challenges including overtime, sick leave and leave management planning. System Administration: Jointly responsible for training and ongoing education of UKG users, including a group of super users. Analyse and report on strategic and ad‑hoc metrics to support decision making across SHN. Requirements Diploma or degree required (Business Administration, Human Resources, Engineering, Computer Science, or Mathematics preferred). Minimum 3 years scheduling experience in a unionised acute care setting. Demonstrated proficiency in analytical skills and knowledge of analytical software (e.g. Microsoft Excel and other statistical software). Experience building and optimising schedules and master rotations. Knowledge of UKG or other electronic scheduling systems an asset. Experience utilising Microsoft 365 (SharePoint, Forms, Power Apps) an asset. Experience developing financial business models to support recommendations. Experience training adults an asset. Experience working with Labour Relations to interpret and implement Collective Agreements. Self‑directed, collaborative working ability. Excellent interpersonal and communication skills both verbal and written. Proven decision‑making, negotiating, conflict resolution and problem‑solving skills. Demonstrated ability to manage conflicting priorities and confidential data. Good work and attendance record.
