Overview Vanguard has an exciting opportunity for a Chief of Staff that will serve as a primary resource and point of contact for a senior leader of an international region, country head, or global investment team. In this role you will develop and coordinate executive materials and reports and participate in critical sub-divisional strategic initiatives. As Chief of Staff to the Americas region, you will have the rare opportunity to be exposed to all functional aspects of running a business in a developed market (Canada) and an emerging market (LatAm), as well as work across the globe with crew from Europe and Australia on selected projects. By virtue of being in one of the regions, the team is virtual; this provides the rare opportunity to gain international experience without the need to relocate. Some travel between the US, Canada and Mexico will be expected, providing the opportunity to gain in-country international experience as well. Finally, as a member of the regional leadership team, you’ll have the chance to work with experienced professionals while gaining exposure to a wide range of leadership styles and experiences. Responsibilities Assists region, country, or sub-division in developing, managing, and executing the business plan and ensuring project deliverables are met throughout the year. Manages all senior leadership staff meetings, planning sessions and off-sites. Creates and develops agendas and related materials, and schedules and coordinates presenters. Ensures meetings are run effectively and efficiently and tracks action items. Manages meeting formats, obtains feedback on the meeting experience, and modifies the approach as needed. Designs high level presentations, regional/sub-divisional reports, and executive summaries for use in various internal and external speaking engagements. Presents data and displays information in an easy to understand and creative format. Develops presentations on a wide variety of topics. Leads projects. Defines, recommends, plans, coordinates, and executes department projects as part of an overall initiative, or participates in such activities. Authors and supports the design and development of regularly scheduled reports (e.g., OKR dashboard) and business updates for governing bodies. Creates key on-going sub-division or regional communications, including town halls, monthly memos, and other communication methods. Completes ad hoc requests as assigned. Offers assistance to other leadership team members as needed when business conditions warrant. Participates in special projects and performs other duties as assigned. Qualifications Fluent in Spanish preferred The role requires monthly travel, typically lasting 3 to 5 days, to one of the other regional locations. Excellent written and verbal communication in English required. Minimum of three years general experience. Two years of project management experience preferred. Undergraduate degree or equivalent combination of training and experience. Graduate degree preferred. Ability to interact at all levels of the organization. Strong project management skills. Ability to work quickly and independently with attention to detail and sensitivity to deadlines. Excellent judgment and problem-solving skills. Strong PC skills (e.g., Microsoft PowerPoint, Excel). Ability to appropriately manage highly confidential, sensitive data. Note: The Leadership team is geographically dispersed, with leaders in Toronto, Mexico City, Malvern, and London. As such, this role often requires schedule flexibility, with periodic early morning or late evening meetings. Pay Transparency Expected Salary Range: $85,000 - $135,000 Role status: existing vacancy Our compensation ranges are based on role, level, and local market. Individual pay within the range is determined by factors such as job-related skills, experience, and relevant education or training. For part-time roles, pay will be pro-rated based on regularly scheduled hours. In addition to the range above, Vanguard’s total compensation package may include performance-based incentives, discretionary bonuses, and other perks.
