* Maintains the teaching opportunities website. This includes potential teachers in the MDUP and triages requests as appropriate.* Manages the content and structure of, and access to, the Year 1&2 Provincial SharePoint Site in collaboration with the Programs Managers at the distributed sites.* Maintains the central class lists for all sites in Years 1 & 2 and the provincial and local mailing lists.* Under the direction of the Years 1-4 Curriculum Delivery Manager, is responsible for developing, recommending, and implementing new administrative policies, procedures and systems; requiring collaboration with program staff across the distributed program, to ensure consistency and efficiency in the program delivery.* Manages and oversees onboarding process for incoming Year 1 medical students, including tracking of pre-term tasks and managing logistics and operations of MEDD 411 Orientation Weeks.* Participates in the development and editing of MD Undergraduate Admissions materials and Orientation website for newly admitted students, ensuring alignment with program policies and procedures.* Manages and oversees the tracking of student practice education modules and requirements for health authorities. Develops and maintains reference guides for provincial program staff reviewing and tracking requirements.* Ensures that teaching materials are distributed in a timely manner across Year 1 & 2 Lectures and Labs.* Collaborates with the Program Managers, MedIT, students and faculty in the introduction of new technologies to the program. Participates in analyzing and testing platforms.* Participates in the development or revision of relevant MDUP policies. Implements and monitors compliance.* Develops new quality assurance processes for Lectures and Labs under the direction of the Years 1-4 Curriculum Delivery Manager to ensure consistency and efficiency in program delivery.* Leads, develops and directs ongoing, effective communication processes, quality assurance and ad hoc projects between curriculum leadership and administrative and support staff.* Responsible for operational aspects related to lectures and labs program delivery for the MEDD 411 course. In addition, manages VFMP program delivery of lectures and labs for MEDD 412, 421 and 422, including complex sessions for TICE (Transition into Clinical Education).* Sends annual Thank you Letters to all VFMP Faculty that taught in Years 1&2.* Manages the absence tracking form for VFMP Years 1 & 2 and oversees the student absences tracking and documentation processes in VFMP for Years 1&2.* Oversees student attendance tracking for Lectures and Labs for VFMP Years 1 & 2 students by establishing and maintaining procedures, ensuring accuracy and consistency; provides oversight and direction to support staff reporting and processing absences.* Manages program assistants 2at Vancouver Hospital and UBC campus, including recruiting, hiring, training, evaluating, disciplining and terminating.* Validates and monitors payments to clinical faculty in the Teaching and Tracking Payment System (TTPS) in the first two years of the VFMP for Lectures and Labs. Ensures timely payments of VFMP lecturers.* Invigilates exams as required by the Provincial Learners Assessment Team and performs other related duties.* Provides coverage for absences of other Team Leads while on vacation.* Oversees planning for special student events.**Supervision Received** Reports directly to the Years 1-4 Curriculum Delivery Manager. Works independently with minimal guidance from the Curriculum Delivery Manager and the Faculty Leadership. **Supervision Given** This incumbent has direct supervisory responsibility for program assistants (currently 2) in Lectures and Labs and is required to give direction to staff and to involve others to achieve MD Undergraduate program objectives. This includes collaborating with other site administrators and Program Managers. **Minimum Qualifications** Undergraduate degree in a relevant discipline. Demonstrates value for, and awareness of, best-practices in respectful and inclusive collaborator engagement, team skills development and student learner engagement that upholds these practices, commitments, and values.* Experience with, and awareness of, federal, provincial, institutional and Faculty values related to developing and maintaining respectful workplace environments as well as intersectional equity, diversity and inclusion initiatives. Experience promoting and modelling these values among team members and within support services that are provided to students, faculty, and community collaborators.* Experience with mentoring and coaching staff, establishing client-service standards and goals, performance evaluation, providing feedback and taking corrective action as required.* Demonstrated experience with, and ability to, synthesize information, provide instruction and direction for learners, staff, faculty and collaborating colleagues in person, online and in writing.* Strong anticipatory skills derived from experience working in a fast-paced curriculum delivery environment or critical service delivery structure. Ability to assess situations, recommend and implement solutions, assess impact and develop documentation to promote impactful and strategic common processes and team collaboration.* Experience with developing and implementing informative presentations, training materials, and feedback mechanisms to keep learners, staff and faculty engaged and informed. Excellent interpersonal and diplomacy skills as well as demonstrated ability to work effectively across teams and cultures. Ability to develop, maintain and nurture effective working relationships with students, faculty, staff and community members.* Intermediate to advanced level computer experience required (Microsoft Office programs, including Outlook, Word, Excel, SharePoint, Teams, PowerPoint) as well as experience working with learner management systems, client relationship management systems or similar.* Proven ability to lead and complete projects from inception to conclusion, to delegate effectively and to problem-solve. Ability to facilitate needs-analyses activities, and create reports within allocated time and resources.* Ability to analyze problems, identify key information and issues, and effectively resolve and develop best-practices and solutions with key collaborators.* Ability to work evenings and weekends according to program needs and program delivery timeline fluctuations. Ability to travel for site programming, conferences and professional development opportunities.* Willingness and ability to contribute to other VFMP/MDUP operational and administrative projects and duties as required to support a whole-team/one-program mindset.
