Program Secretary, Central Lab Services Vancouver, BC Perform secretarial and administrative duties for Central Lab Services and the Hematopathology Program within the Department of Pathology & Lab Medicine at C&W. Provide support to the Program Director and other Program staff, including scheduling appointments, typing documents, filing, responding to telephone enquiries, arranging meetings, screening incoming materials and prioritizing items for staff. What You’ll Do Draft and type a variety of material such as letters, memoranda, reports and educational materials utilizing a variety of software programs; compose and sign correspondence such as meeting invitations, memos, and notices on behalf of Program Director and staff. Schedule meetings, coordinate availability, book rooms and equipment, circulate notices, record, transcribe and distribute minutes, and resolve scheduling conflicts. Schedule inpatient and outpatient appointments for special tests such as bone marrow procedures, INR, and osmotic fragility; transcribe reports and prepare labels for slides. Create and update staff rotation schedules and input changes in the electronic system. Perform receptionist duties: receive visitors, answer phones, take messages, and prioritize calls. Maintain filing systems, label folders, and order office supplies within authorized limits. Process incoming and outgoing mail, including invoicing and courier coordination. Prepare monthly workload units and collect data from the Lab Information System. Administer the Pat Ross Education Fund, process reimbursements, and track expenses. Coordinate staff training, on‑site courses, and orientation for new staff. Assist projects in the lab such as renovations and procedural changes. Maintain the division library and manage cataloguing of books. Perform other related duties as assigned. Education, Training and Experience Grade 12, graduation from a recognized secretarial program, including a course in medical transcription, and three years of recent related experience, or an equivalent combination of education, training and experience.
