Executive Director

General Overview

Under the direction of the Board of Directors and reporting to the Chair of the Board, the Executive Director (ED) is responsible for the successful leadership and management of the organization according to the strategic direction set by the Board of Directors. Guided by this strategic direction and within the framework of the Bylaws, the Employee is instrumental in implementing, leading, building, expanding, and managing the Corporation’s day-to-day operational effectiveness and accomplishes the goals and objectives of the Corporation in a manner that serves and promotes the interests of its members.

The successful candidate uses their professionalism and highly effective communication skills to further the goals of the CFAS, strengthen its membership, and generate increased value for its members, stakeholders, and strategic partners. While generating value for stakeholders, the candidate also uses his/her/their business acumen to strengthen the long-term financial health of the CFS through effective management of resources and sustainable business development.

Key Responsibilities

Leadership

•Participates with the Board of Directors in developing a strategic plan to guide the organization toward achieving long-term vision and mission;
•Responsible for the overall successful implementation of the strategic plan, ensuring appropriate resources are employed to achieve desired outcomes within the deadlines set by the Board;
•Acts as a professional advisor to the Board of Directors on all aspects of the organization’s activities;
•Fosters relationships with stakeholders, partners, and other organizations to further the strategic goals of the Corporation and to strengthen participation; and
•Identifies, assesses, and informs the Board of Directors of internal and external issues that affect the organization.

Operational planning and management

•Develops an operational plan which incorporates the goals and objectives that work towards the strategic direction of the organization;
•Ensures that the operation of the organization meets the expectations of the Board and stakeholders;
•Drafts policies and procedures for the approval of the Board and prepares procedures to implement the organizational policies;
•Reviews existing policies on an annual basis and recommends changes to the Board as appropriate;
•Provides support to the Board by preparing meeting agendas and supporting materials;
•Oversees the planning, implementation, and evaluation of the organization’s programs and services to ensure that the programs and services offered by the Corporation contribute to its mission;
•Attends all meetings of the Board of Directors and oversees all activities in support of Board meetings including recording, distribution, and archiving of minutes;
•Provides administrative and logistical support to the Board, Committees, SIGs, and Provincial Chapters;
•Maintains and safeguards the assets, records, and documents of the Corporation;
•Produce and send membership dues notices and other income-producing statements on a timely basis and ensure collection of same;
•Manage the Corporation’s contractual relationships by ensuring contractual obligations are appropriately managed and met;
•Establish and maintain good working relationships and collaborative arrangements with internal and external stakeholders; and
•Provide the Board with regular, accurate, and reliable reports on the Corporation’s activities and initiatives

Membership

•Implements effective strategies to engage members and ensure members perceive the Corporation as an organization that offers value;
•Strengthens member services according to strategic priorities and member feedback; and
•Oversees all aspects of member services and ensures member information is managed appropriately and confidentially including membership renewal and member profiles/accounts.

External Communications

•Develops and implements short and long-term external communications plans that further the strategic objectives of the Corporation and that establish the Corporation as a recognized source for information pertaining to assisted reproduction in Canada;
•Works directly with the Communications Committee and media relations advisor(s), as required, to facilitate the timely production of communications documents and messaging using a range of media strategies (website, press releases, etc.);
•Oversees media monitoring to ensure the Communications Committee, Board of Directors, and members are informed; and
•Oversees the Corporation website and ensures that content is current and reflective of the Corporation’s stated positions and objectives

Internal Communications

•Develops and implements an internal communications plan to engage membership and actively engages stakeholders to further the goals and objectives of the Corporation.

Program Planning and Management

•Oversees the planning, implementation, execution, and evaluation of all aspects of the Society’s Annual Meeting and other special projects as they may arise;
•Cooperates with the Scientific Program Committee and SIGs in developing, organizing, and producing Annual Meeting and Educational Programs responsive to the needs of members and in compliance with the Royal College of Physicians and Surgeons of Canada and the University of British Columbia accreditation requirements for the educational activities, and such accredited providers of other continuing education as are necessary to serve meeting attendees;
•Maintains, as required, continuing education files and reports;
•Contracts with third-party vendors as needed, and within the scope of the Corporation’s budget, to accomplish the Corporation’s objectives;
•Ensures that the programs and services offered by the Corporation contribute to the organization’s mission and reflect the priorities of the Board of Directors; and
•Monitors the day-to-day delivery of the programs and services of the organization to maintain or improve quality.

Financial Planning and Management

•Works with the Treasurer and Board to prepare comprehensive annual budgets and work with the Board to secure adequate funding for the operation of the organization;
•Provides the Board with comprehensive, regular reports on the revenues and expenditures of the Corporation and ensure that the Corporation complies with all legislation covering taxation and withholding payments;
•Ensures that the Corporation meets all of its legal and financial obligations;
•Oversees the development of fundraising plans, writes funding proposals to increase the funds of the organization, and participates in fundraising activities as appropriate;
•Ensures office efficiency and cost effectiveness and oversees efficient and effective day-to-day operations and financial controls in keeping with established budgets;
•Administers the funds of the Corporation according to the approved budget and monitor the monthly cash flow of the Corporation;
•Provides the Board with comprehensive, regular reports on the revenues and expenditures of the Corporation;
•Works with the Board of Directors, stakeholders, and partners in identifying opportunities to strengthen the financial health and long-term sustainability of the Corporation;
•Works with financial advisors and the Finance Committee to ensure that the Corporation’s funds are invested appropriately and without undue risk while generating reasonable investment returns; and
•Conducts regular analysis of annual risks and opportunities related to the financial management of the Corporation.

Qualifications / Required Skills

Experiences and Competencies

•An MBA would be an asset;
•Not-for-profit administrative / operations experience;
•Has successfully raised and secured funding through sponsorships and events;
•Strong governance and operational expertise, hands-on approach; and
•Proficient in stakeholder management and has worked closely with complex stakeholders both internally and externally.

CANDIDATE PROFILE
Chief Executive Officer

The CFAS seeks a dynamic, strategic, and diplomatic advocate for the role of ED. Reporting to the Chair of the Board, the President and ED leads and supports a highly skilled team. The ED is accountable for providing executive leadership in support of short- and long-term Board and sector priorities through policy development and strong relationships with internal and external stakeholders.

The ideal candidate is a seasoned executive with expertise in the not-for-profit sector and member relations. The ED will possess a highly developed executive leadership skillset, including strategic planning and operational effectiveness, strong board governance experience, and a demonstrated ability to engage and build meaningful and impactful partnerships with all CFAS’ stakeholders. To succeed in the role, the ED must possess high political acuity, be an outstanding, persuasive communicator, and be a compelling and credible advocate for the CFAS and its priorities. An inclusive, proactive, and visionary leader, the ED will have the capacity to anticipate future trends and mobilize the sector around a common vision. A strong facilitator who builds bridges towards identifying shared, sector-wide strategic goals and effective delivery of related complex objectives are essential.
