Mastronardi BerryWorld America, North America’s leading grower and distributor of greenhouse produce, has created a partnership that will “WOWTM” the North American berry market.

Our Head office based in Kingsville, ON is currently seeking an Operations Analyst to join our Berryworld team This role is responsible for supporting the long-term planning, propagation and delivery of plant material across the USA and Canada. A key area will be on establishing good working relationships with propagators and growers to help with on time delivery of in-spec plant material as well as assisting with the operational needs of the business. It will require excellent interpersonal skills, the ability to work in a fast-paced environment, and great communication both with internal and external stakeholders.

Primary Responsibilities:

Logistics

  • Coordinate weekly dispatches with propagators and growers in line with plant availability.
  • Communicate any changes in the outload schedule with propagators.
  • Send weekly outload summary and dispatch notes to propagators.
  • Work with growers and grower liaisons to determine when growers are ready to plant and ensure outload is in line with overall plant availability and outload schedule.
  • Help coordinate trucking requirements between the grower and the propagator.
  • Manage the return of shipping materials to the propagators and issue invoices for any boxes not returned within the required amount of time.
  • Communicate cancellation or late fees to growers and finance team; ensure invoices are created for all dispatched plant material and sent out.
  • Maintain propagation stock of all plant material.
  • Assist with the import and quarantine of new varieties.

Record Maintenance

  • Create and maintain a Planting Details Database of all USA and Canada plantings in coordination with the Forecast analyst of MBWA.
  • Ensure all out-going dispatches have a dispatch note and follow up with obtaining signed copies returned.
  • Attend meetings with propagators, growers, and procurement team; create and distribute meeting minutes to relevant parties when required.
  • Manage onboarding process of new and existing growers, coordinating with the finance and procurement teams, and ensure the required information is recorded. Track all invoices paid by MBWV relating to transportation, import, etc. and ensure they are re-charged back to the grower.
  • Code incoming invoices from propagators and send to finance team for entry. Add all invoices to Propagation tracker.
  • Assist with propagator account management, tracking deposits and final payment of plant material.
  • Manage the Propagation Tracker and ensure it is kept up to date, to include orders, dispatches, late or cancellation fees, and all other information relevant to MBWV operations.
  • Maintain Monday.com boards relevant to North American operations to include but not limited to the Pipeline, Contact List, Vendor List, and Propagation Orders.
  • Maintain records of all claims in claims tracker.

Legal Agreements

  • Issue Order Confirmations for all confirmed orders on order sheet.
  • Assist legal Secretary with the timely execution of legal agreements in line with order confirmation process, to include payment terms. Document payment terms in Propagation Tracker Order Sheet.
  • Create Payment Plan Schedules and coordinate with Procurement and Finance team on maintaining up to date schedules in line with actual dispatched plants.
  • Ensure order confirmation, payment plan, and agreements are executed prior to plant material dispatch.

Complaint Management

  • Assist with management of claims process and ensure all relevant information is saved on SharePoint and recorded in the claim’s tracker.
  • Follow up with grower complaints and record all reported issues in the Issue Tracker.
  • Maintain relationships with growers that assists with timely and satisfactory issue resolution that preserves positive grower relations.

Reporting

  • Weekly plant dispatch summary sent to Plant Execution Attendees
  • Bi-Weekly Unallocated Plants summary sent to Plant Execution Attendees
  • Assist with maintenance of Plant S&OP Dashboard in Monday.com

Travel

  • This position requires up to 15% travel within the USA and Canada to visit growers and propagators.
  • This position requires occasional international travel for company events, conferences, and team meetings.

  • Proven Time management skills: Accustomed to working with and meeting time critical deadlines.
  • Ability to work well under pressure and attentive to detail.
  • IT skills – proficient with Word, Excel, and Microsoft Outlook.
  • Good spoken and written English.

Deliverables

  • All growers and propagators have signed agreements in place prior to plant dispatch or prior to start of season for propagators.
  • Ensure sufficient mother material is dispatched to propagators on time.
  • Form a central point of communication between the propagators, technical team, and procurement to ensure on time delivery of in spec plant material.
  • Management of USA/Canada Plant Execution Meeting to meet plant supply deliverables.
  • Management of Monday Sales Pipeline to include updating orders and propagation plant availability weekly as well as management of the Sales Pipeline process for USA and Canada.
  • Assist in management of claims process and ensure timely resolutions with the grower and propagator.
  • Develop and maintain professional relationships with growers and propagators to facilitate trusting and mutually beneficial working relationships.
  • Assist with timely, accurate billing of all plant outloads with documentation in line with financial requirements.
