OverviewLocation: Halifax, NS / Charlottetown, PE / SaintJohn, NB / Caribou, NSReports to: Director, Safety & SecurityPosition Type: Full-TimeThe Opportunity We are seeking a Data & Safety Coordinator to play a critical role in supporting safety compliance, continuous improvement, and data-informed decision making across our vessel and terminal operations. This position works closely with the Safety & Security Leadership team to coordinate safety reporting, corrective action processes, audits, and digital safety systems.The ideal candidate brings a strong blend of data management, analytics, and administrative coordination, along with a passion for fostering a just safety culture. This role requires professionalism, discretion, and the ability to communicate effectively with stakeholders at all levels of the organization. Key ResponsibilitiesSafety & Security SystemsReceive, review, categorize, and process safety and security event reportsManage the full lifecycle of event reports, including corrective actions and stakeholder communicationsMaintain and transition the event reporting database from Excel to automated digital solutionsMonitor timelines, target dates, and follow up to ensure deadlines are metSupport process owners in the use of reporting systemsAssist with safety KPIs, analytics, and record management (e.g., SharePoint libraries)Management System & Audit SupportSupport the effectiveness of safety and security management systemsAssist process owners with documentation related to corrective/preventive actions and audit findingsCoordinate audit programs, including scheduling, recordkeeping, and follow-up actionsSupport audit teams during vessel and terminal audits and site visitsAssist with audit reporting and tracking findings to closureProvide support to environmental reporting and audit activitiesData Management, Workflows & AnalyticsSupport the implementation and management of digital safety platformsAssist with the transition to automated event reporting and safety observation systemsBuild and maintain SharePoint lists, Excel workbooks, databases, and M365 workflows (e.g., Power Automate)Manage the Safety department’s SharePoint site and permissionsSupport M365 tools including Teams, groups, and distribution listsAssist with data capture, KPI analysis, and Power BI dashboard developmentSupport other departments (e.g., Emergency Planning & Response, People &Culture) with safety-related data and workflowsAssist with configuration, testing, rollout, and user support for safety-related digital toolsGeneral Administrative SupportSupport safety initiatives such as audits, learning fairs, exercises, and training materialsSchedule meetings, prepare agendas, record minutes, and maintain action and decision logsAssist with project schedules, roadmaps, progress reports, and improvement plansMonitor safety inboxes and calendarsTrack and support completion of safety action plansLiaise with internal and external stakeholders, including contractorsCoordinate workshops and maintain accurate project trackers, logs, and documentationWhat You Bring to the TeamHigh-level proficiency in Microsoft 365, including Excel, SharePoint, and TeamsExperience with databases, data management, and data analysis (e.g., SQL, Python, R)Experience with data visualization and reporting tools (e.g., Power BI, Tableau, Looker)Strong organizational, communication, and coordination skillsAbility to manage sensitive information with confidentiality and discretionExperience tracking issues, risks, actions, and changes in structured environmentsUnderstanding of data governance, privacy, and information safeguardingAssetsExperience in digital transformation, metadata management, or enterprise application administrationBackground in incident investigation or root cause analysisPost-secondary education or certification in health, safety, security, environment, or a related fieldPost-secondary degree or diploma in Computer Science, Engineering, Business, or an IT-related disciplineWorking ConditionsAdministrative, data- and platform-focused role (not a field safety position)Based in a normal office environment at one of the listed locationsOccasional travel to vessels, terminals, and other company sites, including periodic overnight stays (pre-approved by management)Occasional work outside regular business hours to address urgent system or platform issuesWhy Join Us?You’ll be part of a collaborative team dedicated to safety excellence, continuous improvement, and modern, data-driven operations.
