The Purchasing Manager plays a vital role in leading and overseeing the procurement of goods and services. This role involves developing and implementing purchasing strategies, managing vendor relationships, and ensuring timely delivery of products while adhering to purchasing terms and conditions. The Purchasing Manager is also responsible for organizing and maintaining purchasing documents such as purchase orders, proof of purchase, proof of delivery, pricing quotes, receipts, and other necessary records.

Key Responsibilities

  • Develop and implement purchasing strategies to achieve cost savings and efficiency improvements.
  • Lead and oversee procurement activities involved in purchasing goods and services for the company.
  • Manage vendor relationships, including negotiating pricing, terms, and contracts to achieve cost savings and efficiency improvements.
  • Communicate effectively with vendors to resolve any issues or discrepancies related to orders, pricing, or delivery.
  • Maintain accurate records of purchase orders, proof of purchase, proof of delivery, pricing quotes, receipts, and other necessary documents.
  • Coordinate with internal departments such as finance, inventory management, and production to ensure alignment of purchasing activities with organizational goals and objectives.
  • Track and report on key performance indicators (KPIs) related to procurement activities, such as order fulfillment, vendor performance, and inventory levels.
  • Evaluate and select vendors based on factors such as cost, quality, reliability, and delivery performance.
  • Stay informed about market trends, industry developments, and best practices in procurement to identify opportunities for process improvements and cost savings.

Qualifications:

  • Bachelor's degree in Business Administration, Supply Chain Management, or related field required.
  • Minimum of 5 years of experience in purchasing, procurement, or supply chain management roles, with at least 3-5 years in a managerial or supervisory position.
  • Strong attention to detail and accuracy in data entry and documentation.
  • Excellent communication and negotiation skills, with the ability to build and maintain relationships with vendors.
  • Proficiency in Microsoft Office Suite, particularly Excel, and experience with purchasing software or ERP systems.
  • Ability to prioritize tasks and manage multiple projects simultaneously in a fast-paced environment.
  • Analytical mindset with the ability to analyze data, identify trends, and make data-driven decisions.
  • Strong organizational skills and the ability to maintain accurate records and documentation.
  • Ability to handle large volume of ongoing transactions
  • Problem-solving skills and the ability to resolve issues and discrepancies effectively.
  • Adaptability and flexibility to respond to changing priorities and requirements.
