This is a full-time, on-site role for a Bilingual Operations Assistant at Marquest Asset Management Inc. in Toronto, ON. The Operations Assistant will manage day-to-day operational tasks such as assisting with operations management, supporting customer service activities, and ensuring operational efficiency. Other key responsibilities include managing office administrative tasks, coordinating internal processes, and providing bilingual support in English and French to clients and team members. This position reports to Compliance and Operations Manager.
Client Services and Operational Support
Manage Client Services email account, Fund closing, year-end tax slips process and other Client Services related daily tasks.
Act as the primary contact with unitholding service providers on all the unitholding transactions including trade confirmation, commission tracking and verification, trailer fee, AML reporting, redemptions, account transfer, and other Daily verification of documents and reminders if necessary
Daily entries on our website or when deemed necessary
Work with Senior Operations Associate on Fund’s subscriptions and documentations
Responsible for Client Services projects
Supports management in various tasks that involve contact with our clients and advisors
Other tasks as directed by Management and other such services and duties as may reasonably be assigned by Marquest from time to time.
Office Administration
Coordinating, organizing and maintaining the office filing room, storage and printier/copier areas.
Order office supplies and kitchen supplies.
Pick up mail from mailbox and open/ distribute as directed, as well as manage Canada Post mail and various courier packages.
Maintain marketing material in the office for easy assembly into packages.
Maintain boardrooms, meeting rooms and office areas in neat working order and ensure cleanliness of kitchen.
Acting as liaison with certain office supply and service vendors.
Answer telephones, control voicemail daily (on/off) and check messages in general voice mailbox.
Other tasks as directed by Management.
Fluently bilingual, French and English, written and oral (preference given to Québec French)
Customer Service experience, with a focus on meeting client needs and delivering exceptional support
Highly organized, with attention to detail and time management skills
Proficiency in relevant software and tools used in operations and customer service especially Excel skills
A minimum of 5 years of experience in the Investment Fund Management industry and dealing directly with Advisors and managing Clients’ relationship.
Bachelor’s degree or equivalent experience in Business Administration or a related field
