Visit us here to learn more about Accenture Infrastructure & Capital Projects (Internal Title : Document Control II) Responsibilities Participating in the development of document control policies procedures and guidelines specific to assigned departments Participating in the development and maintenance of the Electronic Document Management System (EDMS) structure about projects records lifecycle from reviewing storing updating archiving and distributing such records Tracking and monitoring document control activities and establishing workflows to ensure project information is accurate controlled transmitted managed and archived in accordance with established policies procedures and project requirements Managing registrations revision control issue and receipt of controlled documents including external transmittals received from consultants and contractors Conducting periodic quality control reviews of documents and records before filing and distribution Carrying out project requests for printing scanning and distribution of project documents such as tender documents issued for construction addenda and building permit documentation in a timely manner Communicating regularly with Project Management and Project Controls work status updates and ongoing deliverables status tracking reports Leading project handover and closeout activities per established procedures and policies Responding to project requests for search of documents and records in a timely manner Identifying proactively areas for improvement related to streamlining of business processes and workflows Training Document Control System users on the correct processes to follow and information to be provided as required by document control policies and procedures Working Conditions Office-based or site-based Requirements Experience: Minimum of 5 years of experience in Document Management in an engineering or construction environment Extensive experience in understanding of document control, document management systems and industry best practices as well as information security concepts, processes and practices Experience using quality control concepts / models tools and techniques to monitor document integrity and compliance with document management and document control policies and processes Experience in setting up and managing Document Control Management systems in Project Management Engineering or Construction industry specifically SharePoint as well as experience with document audit process Education: High School Diploma or GED certificate or relevant work experience Licenses OR Certifications: Registered for and seeking relevant industry accreditations e.g. AIIM CIP Skills and Competencies: Proficiency in electronic Document Management Systems (EDMS) such as Microsoft SharePoint, ProjectWise, Aconex or any equivalent document control software Knowledge of Document and Records Management technology including automated records control, maintaining Document Control Management plans, manuals, procedures and guidelines Strong knowledge of SharePoint and ability to learn and implement new systems and enhancements as required Sound knowledge of the Freedom of Information and Protection of Privacy Act (FIPPA), the Municipal Freedom of Information and Protection of Privacy Act (MFIPPA) and the Personal Information Protection and Electronic Documents Act (PIPEDA) Strong collaboration skills and ability to work with multiple teams, colleagues and internal/external stakeholders Strong planning, organizational and multi-tasking skills; high attention to detail and accuracy Research skills investigative and analytical skills; sound ability to problem solve using critical thinking Must have or acquire a comprehensive knowledge of Commission Policies and Procedures Must have or rapidly acquire a comprehensive knowledge of the Ontario Human Rights Code and Related Orders including disability accommodation and accessibility requirements pertaining to passengers and employees Competent in assembling controlled documentation for the program and project In-depth understanding of document control procedures and filing and record retention systems Ability to arrange priorities and elevate competing risks to meet deadlines Keen eye for detail and adept problem-solving abilities Must have demonstrated experience relaying and receiving information (written and verbal) Effective skills in Microsoft Office Equipped to work independently and as part of a team Required Experience: IC Key Skills Customer Service, Consumer Durables, Document Control Management, Field, Financial Accounting Employment Type Full-Time Experience years Vacancy 1 #J-18808-Ljbffr
