This key role is responsible for the administration, optimization, and support of our travel, employee expense, and invoice management systems (SAP Concur). Your contributions will be vital for ensuring system performance, maintaining data accuracy, conducting system updates and tests, providing user assistance, and enforcing adherence to internal policies to enhance the City’s operational effectiveness. Responsibilities SAP Concur System Management Act as Subject Matter Expert (SME) and administrator for the SAP Concur system (Concur Invoice and Concur Expense modules). Provide the necessary support and guidance required to maximize the corporate adoption and efficient use of the software to enable timely and efficient expense processing. Work closely with the Accounts Payable team to ensure they operate effectively using SAP Concur Invoice and assist in troubleshooting and training as required. Manage user access issues, including adding new expense types and implementing policy-driven updates. Administer audit rules (via Concur cases) and approval workflows; resolve failed postings to SAP and address reports stalled in the system. Set up and manage Concur delegates, investigate fraudulent corporate card activity, and handle unassigned corporate card charges. Optimize invoice workflows to enhance accounts payable efficiency and accuracy. Maintain effective integration with ERP systems to ensure smooth and accurate data flow. Oversee invoice capture functionality, ensuring data integrity and accuracy in all entries. Review and update invoice routing rules to align with organizational changes. Monitor and respond to inquiries via the Concur inbox and help desk, ensuring timely and accurate resolution of user issues. Track daily file uploads, troubleshoot errors, and collaborate with relevant team members for issue resolution. Manage Concur support cases via the Contact Support portal, ensuring prompt problem resolution and follow-up. Attend Concur webinars to stay informed about new features, best practices, and emerging trends. Deliver end-user training and generate actionable insights through reports, metrics, and trend analyses. Escalate unresolved/difficult Concur issues to the Accounting Analyst as necessary for resolution. Accounting Functions Conduct monthly Concur reconciliations and prepare year-end accruals. Act as Finance lead, working with internal and external auditors to coordinate provision of Concur supporting documentation and responding to inquiries pertaining to AP. Follow-up to identify, investigate and correct discrepancies. Complete the monthly Purchasing Card upload and resolve corporate credit card discrepancies. Provide backup support for Accounting Clerk, including reviewing and approving expense reports. Other Responsibilities Support the work of other Accounts Payable staff, as required. Participate in cross-functional teams and special projects as assigned by the Accounting Division management. Perform other related duties as needed. Education 3-year degree/diploma in Business Administration - Accounting or equivalent. Experience Minimum of 1 year of relevant experience in an accounting or financial role. Additional Requirements A strong understanding of GAAP and PSAB, with the ability to apply principles to real-world scenarios. Proficiency in Microsoft Excel, Word, databases, and report-writing tools. Experience in user training, system administration, and compliance within a financial environment. Experience with ERP systems, preferably SAP Financials, and a deep understanding of SAP Concur Expense and Invoice modules or comparable platforms. Reliable with a good attitude and employment record. Knowledge, Skills, and Abilities Proven ability to troubleshoot system issues, identify root causes, and implement effective solutions. Excellent written and verbal communication skills, with the ability to convey technical concepts to both technical and non‑technical users. Strong attention to detail and analytical skills, with the ability to identify patterns, trends, and actionable insights. Demonstrated ability to work independently while also contributing effectively within a team. Commitment to upholding the values and standards of the organization.
