Scope The Sales Administrator provides administrative and coordination support to Account Managers, ensuring smooth execution of sales activities and retail marketing initiatives. This role serves as a liaison between Sales, Vendor Deductions, and Marketing teams, supporting accurate item setup, promotional tracking and vendor claim documentation. The Sales Administrator maintains product data integrity, processes marketing deductions, and facilitates communication with internal departments and external retail partners. Duties & Responsibilities Collect, upload, process and distribute weekly customer sell‑through reporting Handle vendor‑specific, ad‑hoc requests Set up and maintain vendor and SKU forecast files Collaborate with sales and purchasing teams to set up forecasting templates and amalgamate customer data Track monthly forecasts Prepare customer set‑up files Create and send new SKU set‑up forms for various retailers Update and maintain back‑end rebate summary files Collect, organize and verify all vendor rebates Announce rebates, procure proof of performance, log activity on internal rebate trackers Update and maintain MAP (Minimum Advertised Pricing) summary files Collect, organize and verify all MAP updates Set up and track Street Date Letters Ensure appropriate information is provided to adhere to vendor‑approved processes related to new product launches Track shipments to confirm adherence to vendor policies Conduct weekly stash analysis Collaborate with Sales and Sales Order Coordinators to analyze the rate of sale on stashed goods and ensure products are in the best location to facilitate sales Provide backup and assistance to Sales Administrators and the Sales Administration Manager Skills & Qualifications Degree in Business Administration, Marketing, Commerce or related field, or equivalent combination of education and work experience Minimum 2 years of experience in sales administration, customer service or related business support role Strong organizational skills with the ability to prioritize multiple tasks; self‑motivated and capable of working independently with minimal supervision Excellent written and verbal communication skills, with the ability to convey information clearly and effectively Demonstrated ability to thrive in a fast‑paced and dynamic work environment Proficiency in Microsoft Office, with advanced Excel skills Quick to learn new systems and software; proactive approach to technology Experience with GP (Great Plains) system is an asset Demonstrated professionalism and integrity in all situations, including challenging or high‑stress environments Strong attention to detail with a focus on accuracy in data entry, reporting and documentation Ability to work cross‑functionally and collaboratively with internal departments such as Sales, Marketing, Operations and Finance Capability to manage deadlines and follow through on projects related to retail marketing, deductions and item setup Comfortable handling confidential information with discretion and maintaining high standards of data integrity The successful candidate will receive a conditional offer, contingent upon completion of a background check conducted by our contracted third‑party vendor.
