Providence Health Care is currently seeking a casual Booking/Program Clerk for its Rapid Access Specialist Clinic at St. Paul's Hospital. Reporting to the Patient Care Manager and receiving work direction from the Physicians, the clerk performs admitting, secretarial and clerical duties for designated clinics/outpatient areas, schedules and books outpatient appointments, admits patients by interviewing and obtaining personal patient information and entering information in the health information system, contacts physician’s offices to request and/or transmit information in accordance with procedures, provides pre‑appointment instruction, generates reports from statistics for operational purposes, types, sorts, distributes mail, maintains office supplies, files and retrieves documents, photocopies/faxes/scans, and receives telephone calls, visitors, and hospital staff. Education Grade 12, two years recent related experience or an equivalent combination of education, training and experience. Skills and Abilities Ability to keyboard at 40 wpm. Knowledge of medical terminology. Ability to communicate effectively both verbally and in writing. Ability to deal with others effectively. Physical ability to carry out the duties of the position. Your Day‑to‑Day Schedules and books appointments by receiving appointment requests or referrals, entering patient information into the computerized health information system, booking time slots, making follow‑up appointments, cancelling or adjusting appointments, booking appropriate tests, and contacting patients to provide pre‑appointment instructions. Contacts appropriate areas such as doctor’s offices, nursing units and other departments to request patient information, documentation or test results to ensure complete records prior to patient appointment; also contacts patients to set up and confirm appointments. Telephones or transmits test results and medical information to physicians and others according to established procedures. Admits patients by interviewing, obtaining personal details, completing standard forms, entering information into the computerized health information system, printing data for consent forms, explaining consent forms, and obtaining signatures. Performs reception duties by answering telephone calls, greeting patients and visitors, and hospital staff; directs or transfers inquiries and takes messages. Sets up and maintains filing systems for correspondence, test results and reports; creates and labels files, assembles and maintains charts, and retrieves information as needed. Reviews files to ensure procedures and results are properly documented. Types a variety of technical and non‑technical material such as correspondence, memos, minutes, reports and medical billings from written drafts or dictations. Performs other clerical duties such as data entry, photocopies, scans, and distributes materials; arranges meetings and faxes staff attendance to the staffing office. If required, assists the clinic nurse with completion of OR booking packages by filling out patient demographic information and faxing requisitions to departments. Schedules patient appointments for diagnostic tests in Radiology and the Laboratory and contacts patients to provide pre‑appointment instructions. Maintains downtime procedures and reports by distributing materials in downtime carts. Generates operational statistical reports by collecting, extracting, entering, and compiling data. Maintains tidiness of work areas by wiping down work stations, desks, and equipment. Performs other related duties as assigned.
