Pre-Construction Manager

  1. Work with internal and external designers while drawings are being developed and attend design meetings with clients to ensure cost increases are caught/communicated and documented.
  2. Support internal design by reviewing floor plans, analyzing drawings, and offering a second set of eyes to catch code concerns or potential issues.
  3. Create a pre-construction schedule and distribute/update it regularly.
  4. Analyze and understand drawings and design specifications to interpret design intent.
  5. Proactively identify and communicate potential risks, issues, or scenarios that may cause problems involving tendering, schedule impact, and construction execution.
  6. Ensure clear communication with external consultants/designers throughout the pre-construction period to meet schedule deadlines.
  7. Communicate with the estimating team and stay involved during tendering to ensure items are not missed or misunderstood. If needed, communicate changes or updates required to drawings with designers/consultants.
  8. Coordinate/facilitate site visits (in conjunction with Business Development) as needed with project stakeholders.
  9. Have a full understanding of the client's vision and communicate with the project team.
  10. Schedule a project hand-over meeting with Business Development and the Project Delivery team to pass off any useful information for project execution.
  11. Manage a Pre-Con list with the client and ID outstanding decisions that require input to complete the IFT drawings using the Procore RFI tool, which allows assignment and scheduling.
  12. Send a weekly Pre-Con email on Friday afternoon to capture the week's activity, highlight Hot Topics, and keep the schedule in front of the complete Pre-Con team. Issue from Procore to the project team.
  13. Bring the project to the IFT/Tender phase. Introduce the PM when IFT drawings are issued. The PM is responsible for any bid comparisons required by the client.
  14. At the start of design, provide the client with a template that guides them through the design process, what will be required of them, what decisions will be required, and when. This should include any special electrical and/or mechanical requirements.
  15. Manage client communication via Procore. Start with the use of meeting minutes, which should have assigned action items with due dates. Key communication should be sent via Procore email or CC Procore email. Key documents should be sent via the correspondence feature, including updated design documents, budgets, and so on. The goal is to create a seamless communication platform so project handover to the PM does not suffer due to possible gaps in communication.
  16. Make the Pre-con schedule visible on the Procore home page, so the client is aware of key dates ongoing.
  17. Set up the client in Procore, including who should receive meeting minutes and agenda, possible RFIs, and project correspondence.
  18. Budgeting & Tendering: Be involved in Budgeting & tendering phases as assigned by Business Development -dependent on project size, requirements workload.
  19. Work with consultants and VPAC's finance team to ensure clients are invoiced monthly based on work completed to date.
  20. Hand over the project to the project delivery team prior to construction, setting it up for success.
Working Relationships:
  1. Ability to work with different departments to assist in reaching common objectives.
About You:
  1. Local experience within British Columbia is an asset.
  2. Certificate/College Diploma or University Degree in construction management – preferred.
  3. Diploma / Degree in Interior Design from an Accredited Institution.
  4. Understands the design build process and strong experience in understanding construction drawings.
  5. Detail-oriented, accurate, and highly organized with the ability to work independently.
  6. Ability to work in a high-paced atmosphere, multi-task, prioritize own work, and manage conflicting demands.
  7. Exceptional written and verbal communication skills, ability to interpret needs, and express ideas clearly.
  8. Commitment to working in a team environment, good team-building abilities, and effective interpersonal skills.
  9. Ability to build a comprehensive schedule – Smartsheets.
  10. Ability to coordinate subcontracts and contract documents.
  11. Knowledge and use of Procore and MS Project – preferred.
  12. Proficiency in Microsoft Office 365 primarily with advanced knowledge of Excel.
