This role is critical to how our agency functions day-to-day, how we scale sustainably, and how we deliver exceptional operational leadership to our clients. You’re perfect for Assist-Her Agency if… You are self-motivated, solutions-oriented, and a fast learner You thrive in operations and enjoy building clear, streamlined systems You’re able to manage multiple businesses at once without losing organization or clarity You take initiative and are proactive, you don’t wait to be told what needs improvement You understand how critical client experience, communication, and organization are You make sound decisions and enjoy being trusted with ownership You have strong communication skills and know when to ask for clarification You have high attention to detail and a natural ability to anticipate needs You think big picture and understand how operations impact strategy and results You love supporting CEOs and teams by bringing structure, order, and forward momentum Responsibilities Internal Agency Operations Build, document, and optimize internal workflows, SOPs, and task structures Manage daily operations including task assignments, team coordination, and capacity planning Maintain and improve the agency’s ClickUp workspace Implement automations, efficiencies, and systems that support scalability Track KPIs, operational metrics, and team performance Support internal projects, launches, and new service development Client Operations & Fulfillment Act as the operational lead for assigned clients, ensuring smooth project flow and deliverables Manage client systems, processes, team communication, and timelines Audit client backend operations and identify opportunities for improvement Build and implement SOPs, workflows, automation, and operational infrastructure Support clients with platform setup, integrations, and task management Provide strategic operational recommendations and communicate updates clearly Attend client meetings as needed and maintain strong client relationship management Team & Leadership Collaborate closely with the CEO and the operations team Lead small internal teams or contractors when required Support onboarding processes for clients and team members Participate in weekly team meetings and 1:1’s with the CEO Ongoing training, professional development, and skills growth Must-Have Qualifications 2–4+ years of experience in operations, online business management, or integrator work Experience working with multiple clients or inside an agency environment Intermediate or higher skill level in: ClickUp (required: advanced task structures, automations, dashboards, dependencies), Kajabi (pipelines, offers, email campaigns, products), Kartra (campaigns, tagging, automations, funnels), and Slack (client communication, internal coordination, channel management) Strong understanding of operational workflows, systems architecture, and client delivery Excellent problem-solving, prioritization, and decision-making abilities High-level communication skills: written, verbal, and cross-team Strong organizational and multitasking abilities Ability to identify operational bottlenecks and proactively implement solutions Experience creating SOPs, workflows, and structured processes Tech-savvy and quick to learn new platformsHigh attention to detail and accuracy Experience leading small teams or coordinating contractors Nice-to-Have Qualifications Experience with Zapier, Make, Airtable, or other automation tools Experience with CRM setup and maintenance Previous integrator or second-in-command-type roles Experience supporting coaches, agencies, or service providers Familiarity with capacity planning, resource allocation, or KPI tracking Operations or project-management certifications Experience in launch operations (funnels, onboarding, backend setup) Benefits Remote work Flexible schedule aligned with Calgary/MST work hours Health benefits available (Canada only) Quarterly performance-based bonuses Opportunities for advancement into senior operational leadership Professional development and growth opportunities Competitive compensation based on experience How to Apply Please apply by completing this application form: https://forms.clickup.com/8598717/f/86d5x-42854/LHYN9IJRXPWH2MPN36 Applications submitted through any other channel will not be considered.
