The Role

The Project Coordinator is responsible for supporting the Project Manager in planning and managing small- to large-sized projects. We are looking for a candidate with sound judgment, autonomous problem-solving skills, clear and effective communication, and the desire to overcome challenges. A keen attention to detail and an emphasis on quality assurance is imperative.

This is a 3- or 6-month contract position with the potential for extension or transition to full-time, based on performance and business needs.

Project Management
  • Lead and maintain quality control procedures for projects and ensure corrections are made
  • Prepare for weekly status meetings
  • Work closely with internal and external teams, keeping team members and partners up-to-date on the status of projects
  • Ensure the team is on track with deliverables to meet deadlines
Project Planning
  • Manage third-party vendors
  • Understand the statement of work and flag changes in scope
  • Help maintain a clear and communicative schedule for all phases of a project
  • Assist in monitoring the project lifecycle to ensure the final deliverable meets standards, stays on schedule, and adheres to the budget
Content Development & QA
  • Review and evaluate all project deliverables to ensure they are error-free, meet requirements, and uphold brand compliance
  • Develop, proofread, and edit copy to ensure clarity, consistency, and adherence to brand guidelines
  • Assist in brainstorming and concept development to generate creative ideas and solutions
Administration
  • Manage job folders, file maintenance, workback schedules, and project-related documentation
  • Support client meetings by organizing presentation materials and taking notes
  • Support team members with administrative, project-related, and business development tasks
  • Budget and scope projects with assistance from supervisor
  • Monitor projects to ensure budgeted hours are not exceeded and associated project costs remain within budget
  • Prepare invoices upon project completion
Soft Skill Requirements
  • Exhibit tact and diplomacy when dealing with clients, team members, and external partners
  • Consistent demonstration of attention, decisiveness, and problem-solving
  • Ability to manage time, prioritize tasks, and handle job-related stress
  • Excellent oral, written, and client-facing presentation skills
  • Eye for quality and completeness with a high degree of accuracy and thoroughness
  • A genuine interest in the success of our clients and the growth of our agency
  • Ability to add to a positive, proactive company focus
Qualifications
  • 1–3 years industry experience
  • Proficiency in MAC OS, Microsoft, and Google apps
  • Technically savvy and eager to learn new digital tools and skills
