OverviewReporting to the Sr. Manager, Talent Acquisition, the Data Administrator plays a critical role in supporting the Talent Acquisition team by ensuring accurate and timely entry of new hire data across multiple systems and business units. The position maintains organized records, processes documentation, and manages day‑to‑day administrative tasks to keep recruitment and onboarding workflows efficient and seamless. In a hybrid capacity, the role upholds compliance with organizational standards, assists with reporting and analytics, and drives process improvements that enhance both candidate and employee experiences.ResponsibilitiesEnter candidate data and employee information accurately into HRIS and recruitment systems.Update and maintain recruitment spreadsheets, pull reporting, update databases, and manage employee digital files across Mattr.Audit HRIS systems to ensure data integrity and consistency.Ensure all data entry and documentation adhere to company policies and privacy standards.Generate basic reports and summaries from HRIS systems for the team.Prepare, scan, and upload recruitment and onboarding documents.Verify completeness and accuracy of forms and supporting materials.Create digital employee files.Respond to routine inquiries from candidates and internal stakeholders.Input job postings into Recruitment Tool (Success Factors) as required.Arrange interviews periodically and manage related logistics.Manage and coordinate pre‑employment candidate testing, bookings, and follow‑ups, liaising with HR Partners and the Talent Acquisition team to provide status updates on these items.Provide exceptional customer service to external candidates during the pre‑boarding process.Qualifications3–5 years of administration support in a data entry capacity preferred.Exceptional accuracy in data entry.Full bilingual fluency in French/English preferred.Minimum high‑school education; college degree preferred.HR‑specific education preferred.Proven ability to streamline, document, and develop new processes.Experience with HRIS platforms such as Success Factors.Experience working in shared services capacity/environment.Ability to work independently with minimal supervision and demonstrate high ownership/accountability.Strong attention to detail and high accuracy.Comfort with current and new technology.Understanding of local legislation related to record keeping and ability to seek required information independently.Effective communication skills and confidence in reaching out to leaders and colleagues.Strong organizational and time‑management skills.Demonstrated initiative and capacity to work proactively and independently as well as in a team environment.Proficiency in Microsoft Office (Excel, Word) and familiarity with HRIS systems.Ability to maintain confidentiality and handle sensitive information.Knowledge of cost centres and departments.Benefits / What Mattr OffersSafety first: comprehensive health and safety initiatives.Flexible work arrangements where possible.Competitive salaries, annual incentives, medical benefits, retirement savings plans, paid vacation days, education assistance, corporate discounts, and more.Participation in service milestone awards and recognition opportunities.Mental health support resources, including the Headversity platform and Employee and Family Assistance Program (EFAP).Growth opportunities, including global career and travel options; personalized training, development, and mentoring programs – including LinkedIn Learning access for all employees.Commitment to a diverse, inclusive, and accessible workplace environment.ESG values with paid Impact Day for community support.Company events, social gatherings, and team‑building activities. #J-18808-Ljbffr
