Come and join our team About the role The Regulatory Affairs Officer plays a key coordination and support role within the Regulatory Affairs team, contributing to effective collaboration with regulators and supporting national and international initiatives. This role is responsible for organizing and facilitating the logistics of in-person and virtual meetings for the Officials Group, maintaining strong relationships with key interest holders, and supporting various working groups through efficient administration and responsive communication. The position also supports the management and continuous improvement of the National Membership Database (NMDB), serving as a key contact for user support, documentation, and vendor coordination. In addition, the Regulatory Affairs Officer administers the Engineers Canada Mobility Register, ensuring timely case processing and maintaining service standards, while contributing to ongoing improvements in international mobility practices. Working closely with the Manager, Regulatory Liaison and the Manager, Regulatory Research and International Mobility, this role supports a variety of projects and initiatives that enhance harmonization and mobility for engineers across jurisdictions. The position also assists the VP, Regulatory Affairs, and collaborates with other team members to advance strategic goals. Key Responsibilities Provide support for the ongoing management and improvement of the National Membership Database (NMDB) and Engineers Canada Mobility Register, including user support, vendor coordination, development of training and guidance materials, onboarding of new users and regulators, identifying and defining system requirements, and testing. Administer registration cases for the Engineers Canada Mobility Register according to service standards and established procedures. Recommend and implement updates to registration practices, messaging, and guidance materials. Liaise with the vendor to address system issues and submit enhancements. Compile and report annual statistics to the International Engineering Alliance (IEA). Provide meeting and logistics support for the International Mobility Advisory Group (IMAG) as needed. Build and maintain strong working relationships with Officials Group members and interest holders by responding to inquiries, helping to onboard new members, maintaining distribution lists, and managing access to SharePoint sites. Plan and coordinate logistics for in-person and virtual Officials Group meetings, including booking venues, arranging AV and dining, creating registration pages and invitations, and preparing meeting minutes and action item lists. Collaborate with OE support where needed to ensure seamless execution. Support the Manager, Regulatory Liaison with administrative tasks such as distributing and compiling annual surveys, updating information tables, responding to ad‑hoc member requests, and assisting with projects related to regulatory collaboration and harmonization. Assist the VP, Regulatory Affairs with operational activities and strategic initiatives, and collaborate with the Advisor, Regulatory Affairs on cross‑functional tasks. Education and Experience Requirements Education Graduate from a recognized University, or an equivalent combination of education and experience. Experience A minimum of three (3) years of experience in a coordination, administrative, regulatory, or interest holder engagement role. Experience organizing complex meetings or events (in‑person and virtual), including logistics, agendas, and minute‑taking. Experience in applying or interpreting legislation, regulations, governance frameworks, or standard operating procedures. Experience working with databases or membership systems; ability to troubleshoot basic technical issues and communicate with vendors. Familiarity with regulatory environments, professional associations, or non‑profit/governance structures is an asset. Experience supporting committees, working groups, or member‑based organizations is desirable. Strong problem‑solving skills with the ability to assess complex situations, identify key issues, and develop effective solutions. This includes utilizing critical thinking to evaluate different perspectives, gathering relevant data, and making informed decisions to address challenges efficiently. Demonstrated ability to effectively manage multiple priorities. This includes organizing tasks, setting clear objectives, and adjusting timelines as needed to ensure that high‑priority activities are completed on time. Exceptional communication skills, both written and verbal. Demonstrated ability to build and maintain professional relationships with internal and external interest holders. Sound judgment, discretion, and professionalism when handling confidential or sensitive information. Proficiency in the use of Microsoft Office 365 Business, SharePoint, and Microsoft Teams. Experience working in a professional association or not‑for‑profit organization. Language Proficiency in English is required; proficiency in French is an asset. About our working conditions This is a full‑time 14‑month term position that is based out of our Ottawa head office. There is a requirement to work a minimum of (3) three days/week in the office for the first (3) three months of employment. Hybrid work arrangements may be considered following the onboarding period, subject to management approval. There is a requirement to occasionally work weekends and evenings. This position may require occasional travel within Canada.
