A passion for excellence and continuous improvement is essential.As Estate Manager, you will be responsible for overseeing all aspects of estate operations, including property maintenance and renovations, contractor and vendor management, supervision of household staff, event planning and coordination, household budgeting and spending, concierge services, and other special projects as needed.This is a full-time, permanent position demanding all hands on deck and long hours during peak seasons.ResponsibilitiesProactively develop, maintain, and oversee comprehensive schedules for monthly, seasonal, and annual maintenance of both the interior and exterior of the estate, ensuring timely resolution of any maintenance issues.Manage all construction, renovation, system upgrades, and landscaping initiatives from planning through execution.Coordinate, negotiate with, and supervise contractors and vendors, while overseeing their access and activities on the property.Always ensure the estate remains secure by implementing and maintaining appropriate safety and security protocols.Establish and uphold high service standards; recruit, train, and manage staff; and lead cross-training initiatives for new team members.Assign tasks and manage projects for estate staff according to the event calendar and the presence of the principal or guests.Plan and oversee all requirements for special events, including staffing, housekeeping, catering (as needed), reservations, and other logistics.Approve and manage purchase orders, invoices, timesheets, charge accounts, and other financial documentation.Prepare and monitor budgets, track property expenses, and produce monthly expense reports for the Principal and/or Director of Properties.Enforce professional appearance standards, including dress code and grooming requirements, for all staff.Oversee the care and maintenance of high-value items such as vehicles, boats, art, and other luxury assets.Carry out additional tasks, special projects, and assignments as directed periodically by the Principal and/or Director of Properties.Requirements and QualificationsMinimum of 5 years’ experience in a management role within a semi-formal private residence.Ideally possesses a strong background as an Estate Manager for an ultra-high-net-worth individual or family.Proven leadership skills with experience in setting expectations, motivating teams, and managing performance.Excellent knowledge of property management, with familiarity with local vendors, trades, and contractors considered an asset.Hands-on experience with HVAC systems, security systems, and general property maintenance.Highly self-motivated and engaged, driven by a commitment to excellence and continuous improvement.Demonstrated adaptability in roles that have grown in scope, responsibility, and complexity over time.Strong problem-solving abilities with a proactive, solution-oriented mindset and a high sense of accountability and teamwork.Flexible and available to accommodate varying schedules, including occasional events outside regular hours.Confident and service-focused, with a polished and professional demeanor.Outstanding verbal and written communication skills.Poised under pressure and capable of handling challenging situations with grace and professionalism.Excellent multitasking and time management skills in a fast-paced environment.Takes pride in delivering high-quality work with enthusiasm and a positive attitude.Self-starter who works effectively with minimal supervision.Impeccable attention to detail.Proficient with Microsoft Office Suite and comfortable with general computer applications.Always maintain the highest level of discretion and confidentiality.Additional InformationFull-time, permanent position.Extensive benefits plan provided.3-week vacation.3 bedroom house provided (family members and pets welcomed).How To ApplyThis Estate Manager position is a rare and unique opportunity to provide the ultimate personalized service in an exceptionally luxurious setting, applying your diverse skills to ensure the principal, family members and distinguished guests receive top-notch service.
