The expected starting base salary for this position is $83,528 - 88,336 annually, depending on a variety of factors including qualifications and experience. What You'll Be Doing
The PA will play a crucial role in upholding the integrity and timeliness of project-related data by working closely with Project Managers and team leads to verify and validate project updates, capacity forecasts, timesheet entries, and financial inputs within the Project Portfolio Management (PPM) tool (One Plan). Utilizing OnePlan and other tools such as Power BI and Excel, the PA will develop, maintain, and generate dashboards and reports on project trends, capacity forecasts, actual utilization vs. planned estimates, and heatmaps, providing actionable insights for project/portfolio/capacity management. These reports will aid stakeholders in making informed decisions about project prioritization and resource allocation.
The PA will work with the POA to drive the adoption of OnePlan to establish and maintain the performance measurement within project portfolios and monitor the project management performance to better increase project management consistency, quality control, and transparency at BCCNM.
Reporting Relationships
This position reports to the Director of Project and Business Architecture and also takes work direction from the Project Operations Advisor (POA). This position does not have any direct reports.
Duties/Accountabilities
The PA will provide project portfolio analysis expertise to the PBA team through cross-project portfolio data analysis, conducting project/program/portfolio research, and contributing to overall project portfolio strategy and performance evaluation.
Portfolio Performance Monitoring and Reporting
- Under the direction of the POA, provides business intelligence analysis support for the overall portfolio performance measurements, monitoring, and reporting.
- Support the continuous improvements of portfolio performance monitoring and reporting and facilitate the adoption of OnePlan (PPM Tool).
- Conduct business intelligence analysis and create regular variance reports to help track the progress of projects at the portfolio level.
- Verify and validate project data, capacity information, timesheet tracking data, and financial inputs to ensure the accuracy and integrity of project-related data in OnePlan (PPM Tool).
- Conduct regular audits and reconciliations of capacity, timesheet, and financial data to promptly identify and rectify any discrepancies or inaccuracies.
- Assist in reconciling project-level financial data, providing explanations for budget deficits or surpluses, and offering insights for financial forecasting and planning.
- Collaborate closely with the Finance department to understand integration requirements and reporting needs, ensuring seamless data flow between project management and financial systems.
- Participate and help facilitate informed decision-making by stakeholders regarding resource allocation and project prioritization through comprehensive and insightful reporting.
- Provide accurate and timely data analysis to support decision-making processes at both project and portfolio levels.
- With guidance from the POA, help establish and maintain the Project Portfolio reporting framework procedures and the defined or ad hoc reports and dashboards.
- Support the POA in activities such as result monitoring, preparing documents, status reports, and meeting notes related to the project management processes and procedures.
- As part of driving OnePlan adoption, collaborate with Project Managers and team members to support the preparation of detailed plans for new projects, determine resource allocation, deliverable timelines, and possible risks or issues.
- Bachelor's degree in Information System, Computer Science, Business Administration, or related field, plus minimum 3 years of experience in project and/or portfolio support and analysis, or the equivalent combination of experience and education.
- Experience in creating dashboards using Power BI reports or Power Apps platform and proven analytical skills and experience in business intelligence tools.
- Demonstrated in-depth knowledge and experience creating reports using MS Excel.
- Excellent verbal and written communication skills.
- Excellent interpersonal skills: approachable, ability to build rapport with a wide range of stakeholders.
- Demonstrated capability and motivation to learn business knowledge and information systems.
- Strong analytical and problem-solving skills.
- Ability to work effectively independently and as a collaborative member of a team.
- Experience with Microsoft 365 suite of productivity tools and SharePoint.
- CAPM or PMP certifications are an asset.
- Knowledge of project management and agile methodology is an asset.
- Knowledge and experience with quality assurance concepts and practices is an asset.
- Experience with project management tools (i.e., Azure DevOps, MS Project) is an asset.
- Experience with portfolio management tool such as OnePlan is an asset.
- Knowledge of Canadian colonial impacts on Indigenous people in social and health contexts, including social, economic, political, and historical realities impacting Indigenous communities and knowledge of Indigenous-specific anti-racism and accompanying reports (e.g. The Truth & Reconciliation Commission's 94 Calls to Action (2015), the In Plain Sight Report (2020), and Reclaiming Power and Place's Calls for Justice (2019)) is an asset.
- Demonstrated understanding of equity, diversity, inclusion, and cultural humility as they apply to health care is an asset.
