Kingstar Media is Canada’s fastest growing full-service Performance Marketing Agency, located in Toronto’s historic Distillery District, is looking to fill a 4-month contract, full time Human Resources & Office Manager role (mat leave cover).

Position Summary

The Human Resources & Office Manager will play a key role in supporting our employees and management team. The ideal candidate will be experienced in handling a wide range of HR tasks and able to work independently with minimal supervision. This role requires excellent organizational skills, attention to detail, and the ability to manage sensitive and confidential information with professionalism.


Additionally, this position is responsible for planning and overseeing all office operations for the company. This includes coordinating and communicating office activities, handling reception duties, shipping and receiving, supplies and stationery, managing client and guest interactions, and general troubleshooting.


Responsibilities

Human Resources:

  • Communicate to employees Human Resources policies, procedures, laws, standards and regulations.
  • Develop and provide recommendations for policies and processes.
  • Administer and educate employees on benefits and maintain a sustainable relationship with insurance providers.
  • Group benefit employee enrollment and management.
  • Management of full cycle recruitment process.
  • Responsible for the Kingstar monthly newsletter.
  • Ensure effective exit interviews and provide analysis recommendations.
  • Provide resolutions to employee relation issues (i.e., employee complaints or concerns).
  • Oversee adequate orientation and training with the organization.
  • Assess training needs to apply and monitor training programs.
  • Plan and organize staff events and recreational activities.
  • Manage Mentor/Mentee Program.
  • Manage and oversee Joint Health & Safety Committee.
  • Communicate the organizations safety policies in accordance with applicable health and safety standards and regulations.
  • Participate in other committees as needed.
  • Recommend, develop and maintain HR databases, computer software systems (BambooHR), and manual filing systems.
  • Manage and conduct employee wellness checks.
  • Manage hybrid work model and enforce policies and procedures.
  • Facilitate performance reviews.
  • Provide research as requested.
  • Provide general information and assistance internally and externally over the phone, electronically, and in person.
  • Complete other duties and projects as assigned.

 

Office/Operations:

  • Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence.
  • Answer and manage inbound telephone inquiries.
  • Monitor inbound/outbound shipping and receiving.
  • Manage client and guest interactions.
  • Ensure adequate supplies of office stationery, general office supplies, office furniture, and other equipment.
  • Assist in the management of building security, such as the assignment of keys and alarm codes for approved personnel.
  • Negotiate contracts and service level agreements for third party suppliers and/or service providers.
  • Manage janitorial, cleaning, repair, and maintenance service provider contracts and service level agreements.
  • Coordinate and implement company social events.
  • Ensure the office is compliant with safety regulations, such as local fire codes, accessibility etc.
  • Responsible for a wide variety of administrative duties supporting the Executive Team.
  • Arrange travel accommodations for key personnel required business trips in an economical timely fashion, including hotel bookings, car rentals, and so on.


Qualifications

Education:

·       Post secondary education in Human Resources Management

 

Experience/Skills:

·       Minimum 3-5 years experience in Human Resources and in office management

·       Superior telephone manners and strong interpersonal skills

·       Strong written and verbal skills is vital

·       Strong customer service orientation

·       Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint

·       Knowledge of office supplies, equipment, and/or services ordering, as well as inventory control of these items

·       Experience in managing third-party service providers

·       Able to maintain filing systems, databases, and basic diary/minutes management
