About us

The British Columbia Search and Rescue Association (BCSARA) is a non- profit, charitable society who enhances theprovision of volunteer search and rescue services in the province. Its primary activities include facilitating access to provincial funding, providing advice and feedback to Emergency Management and Climate Readiness, (EMCR), providing volunteers with a common link to information and resources and prevention through educating the public on outdoor safety. The association has a board of directors, a CEO, and a small staff. The board is comprised of search and rescue volunteers from all regions of the province. BCSARA represents 78 ground search and rescue groups and over 3,000 volunteers in theprovince of British Columbia.

Job Purpose

The BCSARA Data base Administrator’s primary role is to oversee all aspects of the D4H database, which receives data from all ground search and rescue (SAR) groups throughout the province.

The role is:

  • the primary contact with the software provider
  • the help desk
  • provides training for 78 GSAR groups
  • ensures the integrity of the data
  • develops, and tracks key performance indicators
  • analyzes the data to identify and report important trends and insights
  • undertakes a key data gathering, sharing and reporting process which informs funding eligibility for GSAR groups during a set two month cycle each year
  • may also review other datasets that may inform/support the BC Search and Rescue Association (BCSARA) and its programs

Overall Responsibilities

  • Act as the primary contact between BCSARA and D4H Technologies Ltd.
  • Direct GSAR members to other supports within BCSARA.
  • Report DMS system errors to D4H Technologies Ltd. and follow up on corrective actions.
  • Develop training programs for SAR Groups, new users /new processes for individuals and large groups.
  • Respond to user questions on the DMS.
  • Advise users of any changes to data management system (DMS) processes.
  • Co-ordinate access (with D4H) to the org account as requested by BCSARA.
  • Maintain user access to D4H as per the data access policy.
  • Review data entries daily or, at minimum, weekly, including, but not limited to:
  • Quality assurance/control of upcoming activities (org shared activities, activities with

anomalies in naming convention, activities with long duration periods etc.).

  • Quality assurance/control of past activities (correct tags, appropriate activity types, use of subject names, absence of missing person/persons involved data, attendees etc.).
  • Quality assurance/control of equipment data (correct categories/kinds etc.)

Advise SAR groups of errors that could potentially impact their expense claims and/or

validity of data.

  • Issue reminders about timely approval of activities, updating contact lists, member qualifications and team capabilities.
  • Maintain and/or develop additional ‘Technical Bulletins’ for posting on DMS.
  • Develop baseline key performance indicators and monitor trends.
  • Work with BCSARA Staff and Board- CEO, BC AdventureSmart Executive Director and Health and Safety Coordinator and Communications to develop subject data trends and key performance indicators for reports, webinars, websites, and media releases.
  • Generate reports as requested by the CEO and Board.
  • Coordinate, support, and finalize the annual qualifications reporting project.
  • Assist to identify and gather data for projects including capability costing or other as requested by the CEO
  • Develop, maintain and publish training resources reports on member’s website OneDrive/Teams/SharePoint as appropriate.
  • Assist the Joint Training Committee to support the Learning Management System.
  • Work with DMS Sub-Committee to review the functionality of D4H and recommend improvements.
  • Provide support and participate on the DMS sub-committee by facilitating meetings/conference calls, recording and posting minutes.
  • Produce provincial trend reports and when requested by a GSAR group their individual trends.
  • Verify D4H incidents against EMCR quarterly reports and follow up with delinquent reports from GSAR groups.

  • Ability to uncover actionable insights/conclusions from data; summarize and make logical recommendations that drive informed action.
  • Develop export routines to track key performance indicators.
  • Experience with D4H or Tableau an asset.
  • Good judgment, creativity, and an enthusiastic attitude.
  • Demonstratable computer skills such as proficiency with standard office software (e.g., Microsoft Word and Excel).
  • Must be willing to undertake travel and to work occasional evenings and weekends.

Education and Experience

  • Preference given to candidates with a minimum 3 years professional experience working with data (data cleaning, data visualization and modeling).

Working Conditions

BCSARA is a virtual organization. You will be expected to work from a home office during normal work hours (Monday-Friday 8:00-4:00 PT with some flexibility in hours). BCSARA provides a laptop, screens, and phone. Communications via video conference is a regular and expected form of communication. The candidate will be expected to attend lengthy meetings outside of stated working hours . Travel is required to attend meetings with stakeholders, committees, and regional/provincial workshops.

Compensation

Salary: $72,900

3 week vacation (0-5)

100% paid group benefits after 3 months

RRSP match after 1 years @2%
