As a Client Service Specialist, you will be the first point of contact between our clients and our company. This role is particularly well suited to dedicated self-starters who enjoy challenges, thrive on problem solving, and pride themselves in their excellent communication and interpersonal skills. An understanding of the financial services sector would be an asset - particularly in areas such as Investments, Insurance, Company Benefits & Pensions.

This position is a 15 month contract position. The Steele Group is located on a GRT/iExpress bus route, but it is strongly recommended that candidate have access to their own vehicle.

Duties and Responsibilities

  • Welcome clients and visitors to the office
  • Distributing correspondence and redirecting phone calls
  • Ensure all administrative tasks are executed in a timely manner and with adherence to the highest quality standards
  • Supports the client relationship through interacting directly with team members and clients to ensure meeting readiness, including providing non-technical responses to client questions, as well as, guidance through set up and ongoing use of online financial tools
  • Strong interpersonal skills to interact appropriately with all clients
  • Time-management and prioritization skills to work in this fast-paced environment
  • Plan the logistics of the client-advisor meetings outside of the office, including time, location, and cost
  • Monitor client-advisor meeting activities to ensure satisfaction of all parties
  • Prepare envelopes for mailings and complete post mailing as needed
  • Prepare, scan, send and receive forms
  • Maintain marketing materials and office supply inventories, including ordering replacement as needed
  • Maintain client database and electronic file management
  • Complete miscellaneous administrative projects as needed

Technical Skills

  • Windows 10
  • Microsoft Word 2018/365: with focus on mail merge functionality and templates
  • Microsoft PowerPoint 2018/365
  • Microsoft Outlook 2018/365

Familiarity with the following programs is considered an asset

  • Team collaboration software: Microsoft OneNote, Teams
