Primary Purpose
The primary purpose of this position is to provide onsite performance of administrative and support duties.

Responsibilities

  1. General Administrative Duties
    Answer phone calls, faxes, and emails
    Assist with camp mailings (Christmas cards, newsletters, etc.)
    Collect and distribute incoming mail and bills appropriately
    Communicate any accounting information (bills, deposits, income) to the Finance Committee, Camp Treasurer, or Executive Director as needed
    Manage camp calendars on Google & Wix Bookings
    Compile and present needed spreadsheets, reports, and other information
    Compile and update guest and donor information in database
    Submit and communicate maintenance needs as they arise
  2. Oversight of Camp Rentals
    Complete guest communications and bookings
    Respond to messages and requests via phone, email, Wix, and Facebook in a timely manner
    Prepare, communicate, and obtain guest contracts
    Collect, document, and assure payments have been received
    Communicate with guests on facilities and meals needs
    Confirm guest meal plans and facility needs with guest or group leader 1 week prior to booking via a phone call or email
    Coordinate and communicate with the Guest Services Director, Executive Director, and other staff the needs for each booking
    Guest follow-up with surveys and review requests
    Communicate the survey and review feedback to the staff in a timely manner for appropriate follow-up
    Follow-up with past guests to inquire about future bookings
    Assure guests have a positive experience from the first point of communication
    Maintain a long-term, positive relationship with our guests & campers
  3. Summer Camp Related Responsibilities
    Assist with the oversight of the camp Snack Shack, processing purchases and engaging with campers, when needed
    Assist with Summer Camp Registration (database entry, camper check-in, payment)
    Relay parent inquiries and calls to proper channels
    Assist with printing and distribution of staff and camper materials
    Assist with program event set-up as needed
  4. Other Responsibilities
    Oversee camp store, processing purchases and engaging with guests
    Oversee reception office and incoming guest questions and needs
    Research grant opportunities as requested
    Assist Executive Director with other administrative tasks as needed
    Continued education and training in directed areas
    Other duties as needed upon request of Executive Director and Board Chair

Qualifications and Requirements
A personal relationship with Jesus
Acknowledge and agree to The Camp at Findley’s mission
Embody biblical servant leadership
Have strong management and organizational skills
Have excellent oral and written communication skills
Be self-motivated and manage time well
Excellence in Microsoft Excel and Word, Google Suite
Experience with QuickBooks, Wix, online reservations, and creating spreadsheets is a plus
Ability to problem solve
Excellent customer service
Team oriented

Desired Qualification and Requirements
Completed undergraduate degree and/or 5+ years in Administration or Hospitality

Supervisory Leadership
This position operates under the supervision of the Executive Director of The Camp at Findley.
