Position Overview: As a member of the Human Resources (HR) team and reporting to the HR Advisor – Employee Experience, the Recruitment Assistant is responsible for administrative activities related to recruitment, internal transfers, and supporting employee onboarding into the Town’s Human Resources Information System. This position provides effective customer service to internal and external clients and maintains a high degree of confidentiality. This includes timely and accurate written/oral communication with job seekers, hiring managers, other internal stakeholders, as well as external service providers. Integrity and thoroughness are crucial, as the Recruitment Assistant is responsible for maintaining employee records, drafting, and distributing employment contracts, administrative onboarding tasks, and performing a variety of other detail-oriented duties (e.g., job postings, grant applications, surveys, etc.). This position is also one of the HR team’s Power Users for SharePoint Online.

Attributes: This job is for someone who is adaptable, collaborative, a self-starter, confident, and resourceful. Strong organizational skills are required with the ability to meet deadlines and priorities. As you will work with multiple software programs to accomplish your work, we require someone with strong administrative and computer skills and the ability to learn new programs quickly. While related post-secondary education would be considered an asset, you must have obtained a minimum of a high school diploma and minimum of one-year administrative experience.

Experience:

  • Advanced computer skills, specifically with Microsoft 365 (particularly Word, Excel, and Outlook) – required
  • Demonstrated ability to learn new software and leverage technology, trouble-shooting issues, and teaching others how to effectively use the system for their work required
  • One year of related experience in administrative positions – required
  • Excellent verbal and written communication skills required
  • Able to prioritize work and efforts with discernment for the activities that provide the greatest level of value in advancing key outcomes – required
  • Experience handling professional calls – required
  • Experience working and managing files in SharePoint Online – preferred
  • Experience working in Dayforce or other Human Resources Information Systems – preferred
  • Experience in full cycle recruitmentasset
  • Conflict resolution training asset
  • Experience in a municipal setting – asset

Education:

  • Post-secondary education in a related field such as Human Resources or Business Administration – asset

Salary and Benefits:

  • Pay Range- $32.57 - $36.40
  • This is a full-time (35 hours per week) permanent position.
