Support Ontario Youth is non-profit organization specializing in the skilled trades andapprenticeship pathway across the construction, industrial and motive power sectors.We are looking to hire a Director of Events, to help support our driven, focused, and ever-expanding team.
JOB SUMMARY
Reporting to the Executive Director, the Director of Events leads the strategy, planning and organization of internal and external events, ensuring events are successfully executed and within budget. As part of the management team, the Director of Events also contributes to strategic planning, grant proposals, funding initiatives, programs, projects, collaborations and partnerships that support SOYs mission and vision.

RESPONSIBILITIES
- Plan, organize, manage, and attend industry events across Ontario.
- Manage and oversee event budgets for different programs, ensuring all events are executed within financial guidelines.
- Oversee, manage and lead program managers dedicated to bootcamp/hands-on-trade workshops.
- Collaborate with internal stakeholders to align event goals with company objectives.
- Negotiate with vendors and service providers to secure the best deals and ensure cost-effective event solutions.
- Ensure all contracts, agreements, and logistical details are handled in a timely and professional manner.
- Ascertain stakeholder communication needs and build beneficial relationships with internal and external stakeholders.
- Act as the primary point of contact and oversee event communications both internally and externally and respond within a timely manner.
- Take an active role in finding process improvements to drive increased efficiency, communication & budget adherence.
- Secure proposals and negotiate with vendors.
- Liaise with vendors and venues for all event logistics and coordination of details.
- Manage event timelines and tasks, meet deadlines, and ensure a seamless event experience.
- Handle event promotion, including invitations, communications, and social media in collaboration with the marketing department.
- Prepare reports such as event and participant status, expenditures, post-event reports and feedback, lessons learned and other reporting as requested to improve planned events.
- Performs all other duties and responsibilities as assigned or directed by the Executive Director and/or senior Directors.
EDUCATION AND EXPERIENCE
- Post-secondary education or equivalent combination of certification, education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
- Experience in event planning, community management, communications, marketing and/or project management preferred.
- Certificate or equivalent experience with financial planning and budget management.
- Experience in planning and organizing all aspects of a community fundraiser is an asset.
- Project management experience an asset.
KNOWLEDGE, SKILLS AND ABILITIES
- Effective written and oral communication abilities, including the ability to speak comfortably before large audiences and to engage in open dialogue.
- Strong negotiation skills and ability to manage budgets while navigating conflict with ease.
- Ability to manager and oversee multiple budgets and plan accordingly.
- Strong leadership and supervision skills.
- Strong organizational skills with the ability to manage multiple projects simultaneously.
- Solutions oriented, able to think and act quickly when unexpected changes or challenges arise.
- Creative and enthusiastic mindset with an ability to think outside the box and design unique experiences.
- A proactive, detail-oriented, and solution-focused.
- Ability to work and manage effectively in a dynamic and rapidly changing environment, capable of multi-tasking in a complex organizational setting.
- Able to remain calm under pressure or stress.
- Confident in promoting the programs and services while maintaining the integrity and reputation of the organization.
- Competent using social media platforms and promoting events online.
- General knowledge of and ability to operate computers, associated software applications, and hardware.
- Able to organize, communicate with and direct others to ensure goals are understood, well executed and achieved.
- Able to develop and maintain effective and positive working relationships with all stakeholders and partnerships.
- Knowledge in the skilled industry and apprenticeship pathway is an asset.
ADDITIONAL REQUIREMENTS:
- Must be legally entitled to work in Canada in accordance with relevant Ontario legislation and regulations.
- Must be a commutable distance from our Etobicoke Office to be considered for this role.
- Valid G Drivers license, reliable vehicle and valid insurance.
- Ability and flexibility to travel to events across Ontario, including those requiring overnight stays.
WORKING CONDITIONS
- Hybrid Five-day work week (Monday to Friday), with flexible start and end times and occasional evenings, weekends, and overnight stays may be required for events and workshops.
- Majority of the work week is worked remotely with expected travel to the Etobicoke head office, and travel across Ontario for events, meetings and/or site visits.
- Must have a valid drivers license, reliable vehicle, and insurance.
- Ability to move, lift and carry up to 20 pounds independently.
