Job Summary

The Green Construction Research and Training Center (GCRTC) located at the School of Engineering (SoE) at the University of British Columbia (UBC), Okanagan campus, is hiring a part time term Project Manager to manage an event for the GCRTC/Wilden Living Lab Workshop in October 2023; and additional GCRTC projects as required.

Reporting to the Director of the GCRTC. This position will be responsible for the administrative

and financial management of the project, and will provide substantial administration during this project. The position focus is on arranging and facilitating the GCRTC/Wilden Living Lab workshop for internal members, external partners and industry.

Organizational Status

Works under the direction of the Director of the GCRTC. This position will work closely with

researchers, industry, communications, and administrative staff.

Work Performed

Provides comprehensive project management and administrative support for this project for the Center;

Applies an in-depth understanding of the GCRTC priorities to support the strategic research goals and priorities of the Green Construction Research and Training Center.

Implements a project plan that aligns with the strategies of the Center;

Develops and uses a formal project management approach to manage the project, including planning, executing and monitoring detailed plans for each stage of the project.

Develops detailed program terms that ensure strategic priorities and goals are met (including consideration of equity, diversity and inclusion (EDI) principles and institutional commitments to Indigenous engagement and the Truth and Reconciliation Commission);

Acts as the primary contact for the GCRTC project, providing advice and guidance to researchers and industry members;

Manages all communication and facilitation with venue selections, sponsors, suppliers/vendors and internal and external stakeholders;

Works in close collaboration with the GCRTC members to ensure the success of the workshop;

Engages with stakeholders both proactively and reactively, applying strong analytical and communication skills to solve problems;

Provides marketing and communicating strategies;

Coordinating registration logistics including platform with Canadian Home Builders Association - Central Okanagan (CHBA-CO) when required.

Creates all marketing materials for workshops and/or conferences.

Works with Director to forecast and track project budget; provides guidance and advice on budget costs;

Monitors and reports on status of timelines, budgets, and scope changes the project to the Director and other stakeholders as needed through regularly scheduled meetings;

Works with stakeholder group to resolve potential or actual risks/threats to project completion;

Provides on-site facilitation for workshop events and/or conferences.

Delivers successful completion of event including post event evaluation;

Consequence of Error/Judgement
This position is responsible for the execution of a specified program or event and exercises judgement in work methods and prioritizing of workload. Poor decisions may be damaging to the reputation of the GCRTC and the university. Errors in guidance and advice to faculty and/or incorrect interpretation of guidelines could result in lost opportunities and directly affect the researcher's and GCRTC's achievement of strategic priorities and funding success.

Supervision Received

Reports to the director of the GCRTC. Works with significant independence and latitude.

Work is reviewed in terms of achievement of specific objectives. Performance and development of processes are reviewed by the Director of the GCRTC.

Supervision Given
This position does not supervise others.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of two years of related experience, or an equivalent combination of education and experience.

Demonstrates a commitment to enhancing one's own awareness, knowledge, and skills related to equity, diversity, and inclusion

Preferred Qualifications

Degree in a relevant discipline.

Training in project management or equivalent work experience required;

Previous experience in project management, program development, grant funding and budgeting, preferably in a research-intensive university environment, strongly desired.

Ability to understand, develop and apply policies, procedures and instructions.

Ability to communicate effectively verbally and in writing, and to summarize relevant information in clear and succinct language.

Ability to prioritize and work effectively under pressure to meet deadlines.

Ability to exercise sound judgment.

Ability to work effectively independently and in a team environment.

Ability to analyze problems, identify key information and issues, and effectively resolve.

Must possess a considerable amount of initiative and judgment in managing workload demands under pressure to meet deadlines.
