Summary: Process and verify invoices, manage vendor relationships, and maintain accurate financial records in a fast-paced Accounts Payable environment.

Reporting to the Accounts Payable Supervisor, the Accounts Payable personnel is responsible for performing data entry and related duties involved with ensuring timely and accurate payment of vendors, and employee expenses.

Responsibilities:

  • Verify invoices for legitimacy, accuracy, and compliance with corporate and accounting policies
  • Work with purchasing department to ensure invoices match documentation and approval matrices
  • Prepare invoices and employee expenses for posting, handling taxes, holdbacks, and special payment terms
  • Enter credit/re-bill invoices for coding changes
  • Record goods and services to correct distribution of expense(s) and job costs
  • Collaborate with purchasing department on vendor maintenance and purchase order revisions
  • Enter credit card transactions from online portal data, reconciled to portal transaction list, and monthly statements
  • Create and enter Viewpoint transactions for Corporate Traveller
  • Maintain vendor statements, request missing or outstanding items, and respond to vendor payment inquiries
  • Ensure confidentiality and privacy of financial records

Requirements:

  • Diploma in Accounting, Finance, or Business Administration required
  • Bachelor's degree in Accounting, Finance, or Business Administration and experience, or an equivalent combination of education and experience preferred
  • Minimum 1-3 years of experience in an Accounts Payable role required
  • Effective attention to detail and high degree of accuracy required
  • Ability to effectively communicate with internal and external stakeholders
  • Basic knowledge of accounting systems, budgets, and internal controls an asset
  • Ability to perform moderate to complex account reconciliations preferred
  • High level of moral judgement for handling confidential information and monetary transactions required
  • High level of proficiency with Microsoft Office productivity suite required
