Job Description Summary

The Business Support Analyst provides techno-functional expertise to support the alignment of Financial Operations processes and initiatives with the functionality of the Workday through a variety of complementary technology solutions. This position works closely with the function owners, internal departments, and vendors to guide the department and make recommendations on how capabilities of automated systems can be used and optimized to improve business processes and solve business problems to support the short-and-long-term direction of Financial Operations.

The Analyst leads and/or participates in:

  • project planning, and may create project plans
  • business process review, mapping and implementation
  • contract and licence management for complementary solutions engaged
  • training on complementary technology solutions and processes to internal and external users
  • analysis, application support, issue identification, issue solving, testing, documentation and reporting.

This role acts as primary liaison between Financial Operations and technical teams within the University. This could include the Integrated Service Centre technical teams, application support, system administration or other teams as applicable. They may also liaise with external technical consultants to sustain and support Finance complementary technology solutions.

The Business Systems Analyst plays a major role in managing the integration of the workflow within the major applications of UBC's document imaging system (Perceptive Content) and complementary workflows in Sharepoint. Contributes to the reliability and availability of UBC Financial systems by providing Tier 2 support, problem resolution, and ensuring services meet or exceed customer service levels at all times

Organizational Status
The Business Support Analyst reports to the Manager, Financial Services. Interacts directly with UBC IT, Financial Operations stakeholders, and third party software vendors.

Work Performed
-Works closely with users on a day-to-day basis regarding systems management issues specific to the functional modules, as well as participating in major process, module or version changes.
-Provides Tier 2 operational support for production systems including troubleshooting system problem reports, resolving issues, defining operational support processes, and providing end user support. Simulates or recreates user problems to resolve operating difficulties. Recommends systems modifications to reduce user problems and improve data integrity
-Monitors workflow logs, performs pro-active checking of the key workflow routing data, analyzes each failed workflow, and escalates technical issues that are causing workflow processes to fail. Identifies opportunities for continuous improvement.
-Works with Financial Operations teams to maintain Perceptive Content setup and workflow administration duties.

Creates daily status reports to support Financial Operations processes and service delivery.
-Plans and identifies systems issues which require analysis; determines and recommends priority.
-Develops a high level of expertise in the functionality of vendor product(s). Acts as a liaison with the vendor technical support centre. Manages licenses and UBC's needs to ensure cost efficiency.
-Compiles, analyzes and interprets data. Designs reports and analysis of varying complexity. Extracts data using query tools from Workday, Sharepoint and Perceptive Content and produces cyclical and ad hoc reports for both internal and external clients. Uses Excel at an expert level to analyze data and develop intelligence from data.
-Performs functional and quality testing and provides final user acceptance sign-off.
-Produces business and functional documentation, including:

  • operations and support procedures relating to Perceptive Content and custom applications.
  • Website content to support the Community
  • Knowledge base articles to align with the Integrated Service Centre approach
  • Training content, SOPs, process maps and other materials

-Maintain a thorough understanding of business and functional process of financial transactions within the financial applications. Provide support, recommendation and design based on well supported analysis.
-Conducts feasibility and cost benefit studies, documenting the development work from start to finish.
-Develops and provides systems group with detailed system specifications of varying complexity for all user requests, mandated or cyclical system updates.
-Conducts on-going business and systems analysis and studies of emerging trends for systems/software enhancements, integrations and new development which aligns to the University's goal to be operationally efficient. Makes recommendations on usage of new functionality, takes an active role in project design and acts as functional project lead during implementation stage.
-Performs other duties as required.

Consequence of Error/Judgement

This is a technical and administrative position responsible for overall functionality and availability of systems within Financial Operations. This position collects requirements of users, ensures data integrity and accuracy, tests that functionality meets requirements as developed with stakeholders and ensures the enforcement of financial policies. Errors in design, systems recommendations, interpretation or analysis of information could result in financial loss to the University, inefficient resource allocation, and may affect the accountability of Financial Operations.

Supervision Received
The Business Support Analyst works independently under broad directives from the Manager, Finance Services. Work is reviewed in terms of service provided to the Financial Operations team and other UBC units, soundness of judgment, adherence to deadlines, achievement of objectives, and overall effectiveness of analytical and problem-solving skills demonstrated

Supervision Given
Provides functional advice and technical direction to Financial Operations and distributed users regarding procure-to-pay applications and workflow. Serves as a point of contact for project and team members.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of three years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications

Demonstrated ability to train internal teams in applications like Sharepoint, Excel, Perceptive Content, etc.

Familiarity with university systems Workday, Perceptive Content, Sharepoint, etc. an asset.

Ability to communicate effectively both verbally and in writing.

Able to liaise between technical staff and end users effectively.

Knowledge of data mining. Ability to extract data, and create pivot tables and graphics in Excel. Ability to write reports and extract data using SQL, Crystal Reports and other end-user reporting tools.

Advanced level computer experience required including Excel, Access, PowerPoint, and Word.

Demonstrated ability to evaluate project proposals to determine technical feasibility and schedule, prioritizes and manages multiple projects simultaneously.

Basic project management skills desirable.

Demonstrated interpersonal, organization and problem-solving skills.

Proven ability to adapt and to work effectively in a dynamic and rapidly evolving environment under pressure with high volume and critical deadlines.

Ability to take initiative, to work both independently and within a team environment.
