Property Administrator

Job Description Summary

The Property Administrator will play a pivotal role in the management and operation of our commercial properties. This position requires an individual who possesses exceptional organizational skills to perform multifaceted accounting and administrative duties. The successful candidate will be responsible for overseeing all aspects of accounts receivable, while contributing to the successful operation of the entire administrative team. The ideal candidate is a strong communicator with excellent analytical and problem-solving skills.

Job Description

Key Responsibilities:

Accounts Receivable

  • Review, record, and deposit all tenant rents and miscellaneous deposits daily.
  • Reconcile and apply cash to tenant A/R accounts, in accounting software system, and obtain General Manager approval for submission to H/O accounting for posting.
  • Enroll tenants on EFT / PAD, as required.
  • Prepare correspondence related to delinquent accounts, including default notices, demand letters, etc., ready for General Manager signature.
  • Set up new vendors in ServiceEdge.
  • Provide explanations to General Manager on all outstanding arrears.
  • Complete minor Write-Offs, Chargebacks, NSF, etc.

Other Administrative Duties:

  • Address billing inquiries from tenants and provide timely resolutions.
  • Monthly collection and input of retailer sales; preparation and distribution of sales reports.
  • Assist property management team with other projects as they arise in relation to the management and reporting of information on the property.
  • Provide reception duties, as necessary.
  • Assist other administrative staff with projects where required.
  • General filing, including organization of lease and tenant files.
  • Assist in collecting tenants and vendors insurance certificates.
  • Liaise with building operations while assisting with resolving tenant matters/requests.
  • Collaborate with Property Accountants for property revenues, expenses, and reporting.
  • Implement cost-saving initiatives and strategies to optimize efficiency.
  • Other duties as assigned.

Requirements

  • Post-secondary education preferred, with a focus in accounting.
  • Prior experience in the Property Management or Real Estate field a definite asset.
  • Minimum 1 year's experience in an accounting / property administrative role.
  • Strong written and verbal communication skills along with excellent interpersonal skills.
  • Highly organized.
  • Must be self-motivated, ability to work both independently and in a team environment.
  • Must have ability to multi-task and to continuously adjust priorities.
  • Willingness to accept additional responsibilities, beyond specific duties, to assist management team.
  • Enthusiastic and a willingness to learn.
  • Experience with Yardi, Nexus, ServiceEdge software is a definite asset, as well as proficiency in the Microsoft Office - Word, Excel, and Outlook.
  • Must be able to provide Clear Criminal Record Check.
