Building Manager

The Building Manager is a key role within our organization, responsible for ensuring the smooth operation of our residential properties. This position requires a high level of organizational skills, strong communication abilities, and a commitment to delivering exceptional customer service.

Key Responsibilities:
  • Building Maintenance
    Oversee and perform building repairs and maintenance projects to ensure facility equipment and systems are utilized and maintained in the most cost-effective manner.
    • Coordinate all suite turnover repairs and cleaning
    • Inspect assigned properties on a regular basis to ensure premises and grounds are maintained at all times
    • Supervise contractors working on-site
    • Coordinate receipts of quotes from various third-party service providers
  • Building Inspections, Security and Health and Safety
    Ensure the security and safety of our properties and residents by conducting regular inspections and responding to any emergencies that may arise.
    • Inspect property noting any unusual activities or suspicious behavior
    • Ensure security measures are followed according to company policies
    • Respond to emergencies such as fires, power failures, or floods
    • Report all insurance claims to the District Manager and Risk Management immediately
  • Tenant Notices, Accounts and Documentation
    Prepare and distribute documentation and correspondences for building maintenance/repairs, HVAC, custodial services, tenant notices, etc.
    • Process and review invoices in a timely manner
    • Match invoices to purchase orders/contracts to ensure accuracy in account coding
    • Issue and serve legal notices in relation to non-payment of rent and other issues
  • Tenant Relations
    Serve as the primary point of contact for addressing complex tenant issues and inquiries.
    • Address collections, rent abatements, tenancy terms and conditions, tenant improvements, etc.
    • Contribute to tenant retention and satisfaction, and sustain optimum occupancy rates
  • Reporting and Budgeting
    Prepare weekly, monthly, and quarterly reporting to provide management with resources for decision-making purposes.
    • Assist the District Manager with the completion of monthly financial reporting
    • Assist with the completion of annual budget, if required
  • Marketing and Leasing
    Assist with various rental and lease administration procedures, including showing and renting suites to prospective tenants.
    • Issue lease documents and approve/disapprove tenant applications
    • Record daily phone calls and traffic, and maintain suite availability records
    • Monitor advertising and make recommendations to maintain optimal occupancy
  • Management and Development of Staff
    Oversee, monitor, and train site staff to ensure compliance with company policies and procedures.
  • Emergency On-Call
    Respond to after-hour emergencies, alarms, or other call-outs immediately.
Minimum Requirements:
  • High school diploma or Post Secondary Education is an asset
  • Minimum 5 years of relevant work experience or equivalent
  • Good knowledge of MS Office applications
  • Familiar with Rules and Regulations of the Tenancy Agreement, and have a working knowledge of the Residential Tenancies Act
  • Up-to-date with City By-Laws
