We are in search of a highly organized Project Coordinator to join our Major Projects team in Ottawa. The key responsibility of a Project Coordinator is to work closely with the project manager and provide support to ensure the successful execution of projects.

Duties and Responsibilities:

  • Provide essential administrative support to Project Managers, Project Teams, and Site Superintendents for individually assigned projects.
  • Assist Project Managers in organizing and distributing project-related documents and drawings from manufacturers, suppliers, and subcontractors.
  • Conduct data system entries such as setting up purchase orders for subcontractors, suppliers, and manufacturers; inputting change orders and distributing change notices to necessary parties; updating monthly WIP forecast sheets and construction schedules.
  • Establish and maintain project start-up binders.
  • Create, log, and track all essential communication and documentation related to assigned projects.
  • Negotiate and oversee contracts with subcontractors and vendors where necessary.
  • Maintain document control of all site paperwork.
  • Participate actively in operational meetings such as project delivery meetings, staff meetings, and project reviews.
  • Engage in project reviews to promote continuous process improvements within Modern Niagara.
  • Carry out additional related duties as needed under the guidance of the hiring manager.

Qualifications and Job Requirements:

  • 2+ years' Project Coordination experience within the Construction or Mechanical Contracting industry.
  • Post-secondary education in Construction Management or Mechanical Engineering would be viewed as an asset.
  • Prior working knowledge across project and/or construction management software is extremely advantageous.
  • Completion of additional certifications (e.g., PMP, PRINCE II, CSM) is considered beneficial.
  • Solid working knowledge of Microsoft Office products, including Outlook, Word, Excel, and PowerPoint.
  • Previous exposure to project financial management is an advantage.
  • Clear and effective communication skills with the ability to build lasting and productive working relationships with colleagues, subcontractors, and other stakeholders associated with assigned projects.
  • Comfortable working in a fast-paced, deadline-driven environment.
  • Resourceful individual with strong problem-solving skills capable of managing multiple tasks and priorities simultaneously.
  • Energetic team player who thrives both within a team and independently.
