Job Description
Reporting to the Associate Registrar, the Articulation Officer will coordinate and manage all transfer credit and agreements CNC has with other institutions. This includes working with BC Council on Admissions and Transfer (BCCAT), other institutions domestically and internationally, as well as other community partners on transfer credit agreements and dual admission or enrolment agreements with other post-secondary and secondary institutions.
Key Responsibilities
• Oversees and manages the maintenance of articulation data using College and provincial database systems, monitors data entry, and ensures data integrity while utilizing articulation best practice guidelines.
• Creates, maintains, and refines the databases used for tracking of transfer credits for individual courses and block transfers, as well as the creation of reports and review forms within the databases.
• Maintains accurate and timely course articulation information in Colleague.
• Coordinates and compiles student record information and course outlines to be forwarded to students or institutions (as per student requests).
• Initiates transfer credit requests (new, reviewed, and archived) through the Transfer Credit System (TCS).
• Oversees service delivery mechanisms (process and workflow) for students requiring external transfer credit assessments.
• Evaluates the accuracy of the data entry work of Registrar staff and program advisors and by monitoring daily reporting, systems and processes under established policy, articulation agreements and data standards.
• Evaluates and makes recommendations according to transfer credit and block transfer articulations and acceptable practice guidelines to assist with establishing Partnership Agreements; maintains current and historical Partnership Agreements as reference materials for CNC.
• Acts as CNC's resource for BCCAT and other professional transfer credit agencies; maintains articulations and requests articulations of new or revised CNC courses through BCCAT and other transfer articulation councils; and works with faculty/school representatives as well as other CNC colleagues on transfer credit initiatives.
• Provides reports and recommendations for articulation process improvements to management; and facilitates assessment discussions between internal and external faculty representatives, as required.
• Evaluates international institutions, transcripts and course outlines for accreditation and ensures documents are official and that they meet Canadian standards for articulation purposes.
• Educates recruitment, advising, registrar staff, faculty members, program planners, and program advisors of new processes or data standard requirements relating to transfer credit and/or agreement development for dual admissions; a key resource for training new staff in transfer articulation.
• Undertakes professional development activities to remain current in the field of articulation.
• Coordinates the workflow for transfer credit assessments and determines the priorities, tasks and makes recommendations for resources required.
• Identifies opportunities in course articulation and assessment for CNC to better serve student populations to ensure they are in line with the direction of the College and its Strategic Plan.
• Promotes a positive work atmosphere by interacting and communicating in a professional manner that demonstrates mutual respect with students and colleagues.
• Performs duties as assigned by Associate Registrar or designate.
Requirements
• Bachelor's degree (or higher) specializing in Business, Information Systems or other related field.
• 3 years or more Directly related experience assuming progressively more responsibility in administrative support positions, including experience in an educational setting with significant student/faculty contact; an equivalent combination of education and experience may be considered.
• Thorough knowledge of relevant policies, rules, regulations, procedures and functions related to curriculum, registration, admissions, graduation, and student records management
• Thorough knowledge of the programs and courses offered at the College
• Thorough knowledge of Colleague or other automated student record system
• Thorough knowledge of business English, spelling, punctuation and arithmetic
• Considerable knowledge of the BC secondary and post-secondary systems
• Considerable knowledge/experience of various computer software such as word processing, spreadsheets, databases and web-based resources/tools
• Ability to understand complex issues in order to exercise initiative and judgement regarding action required
• Ability to multitask, apply organization skills to meet deadlines, and work with minimal supervision
• Ability to adapt to changing situations and reprioritize tasks smoothly
• Ability to answer questions regarding College and administrative area polices and procedures up to a defined level on behalf of the administrator
• Ability to perform complex work with a high degree of accuracy, and maintain sustained attention to detail
• Ability to understand and follow complex oral and written instructions, and communicate information effectively, both orally and in writing, including technical information
• Ability to establish and maintain effective working relationships with other employees, staff, students and general public
• Ability to establish and maintain office administrative procedures
• Skill in keyboarding at 50 wpm
