Job Summary:

Trane has an exciting new opportunity to join our organization as a Project Administrator in our equipment group Ottawa, ON (or can be based out of any other Trane location in ON, QC, NB, and NS).

This role has been designated as hybrid. There is flexibility of location when workflow and priorities allow.

Office schedule 3 days a week (Monday, Wednesday, Thursday).

Under direct supervision, this position is responsible for routine project documentation, materials, task costing, condition monitoring, invoicing and administrative closure for each project. This position is required to interact closely with assigned project managers, business managers and other project staff to ensure the timely completion of each project.

Responsibilities include the following duties and others may be assigned:

  • Responsible for general administrative functions to support the equipment handling process.
  • Helps order all material invoices associated with projects.
  • Gets all BOMs, estimated shipping dates, and updates appropriate schedules.
  • Helps update customers on estimated shipping dates.
  • Process paperwork for service claims sales allowances, renovation and labor warranty.
  • Assist in the processing of all job closure documents.

Qualifications:

  • High School Diploma or GED and up to two (2) years of related experience and/or training; or an equivalent combination of education and experience.
  • Must have strong communication skills, a proactive approach with the willingness to work independently as well as be part of a team.
  • Bilingual required. Must be fluent in written and spoken English and French.
  • Ability to multi-task and work well in a team.
  • Proven experience prioritizing tasks to meet tight deadlines in a fast-paced environment.
  • Knowledge of HVAC operations preferred, not required.
  • Flexibility to work overtime/weekends as needed.
