Vet et Nous is a multidisciplinary team composed of veterinarians, both generalists and specialists, operating at a high rank whose mission is to take care of client’s pets as if they were our own. Our teams are split into 3 emergency and reference centres open 24/7 and several general practice hospitals and clinics in the greater Montreal, Laval, Montérégie, Laurentides, Lanaudière, Mauricie, Saguenay-Lac-St-Jean, and Quebec region.
Under the responsibility of the hospital manager, you manage the reception team according to the company's values. You ensure that the customer service provided by your team is professional and of high quality at all times. You also offer your support and work in collaboration with the hospital manager.
A resource for the Hospital Manager, the Administrative Assistant calculates, prepares, and processes invoices, accounts payable and receivable, budgets, and other financial records in accordance with established procedures. He prepares employee payrolls under the supervision of the hospital manager and team leaders. Provides computer technical support or relays needs to IT Support as required.

Main Responsibilities:
Reception
- Manage the reception team (supervision, training/coaching, evaluations, recognition, etc.)
- Ensure a presence both at reception and on the phone to assist the entire team
- Manage breaks and be able to replace staff as needed
- Ensure that center protocols and procedures are followed by the team
- Ensure that team members meet the highest standards of customer service
- Manage first-level complaints from dissatisfied customers and follow up with the hospital manager as needed
- Ensure good communication between the different departments
- Carry out the complete staffing process (recruitment, reception, integration, schedule, punches, etc.) in partnership with the hospital manager
- Develop the human resources of the team (talent management, skills development, etc.)
- Ensure the implementation and monitoring of performance management as well as the disciplinary process (as needed)
- Maintain up-to-date employee files
- Make sure you have an employee recognition plan
- Perform all other related tasks
Administration
- Perform cash balancing and deposits
- Reconcile credit cards and daily receipts
- Perform manual invoicing and/or with the internal management system
- Follow up on accounts receivable and collect overdue accounts
- Receive and distribute mail, as well as file for administration
- Archive documents
- Make purchases from various retailers
- Prepare summary reports for the administration team
- Collect and collate various data to produce reports for the administration team
- Perform bank reconciliation
- Perform all other related administrative tasks
Requirements:
- French oral and written
- Minimum of 3 to 5 years of experience in a similar position
- Experience in the veterinary field and/or other related field (an asset)
- Knowledge of Cornerstone in-house software (an asset)
