Description

The Staff Accommodation Assistant Supervisor works in all aspects of housing for those who engage in the unique experience of both working and living at Sunshine Village. This role excels at being a strong company leader and liaison for residents, ensuring policies are followed while promoting a positive living and working environment. The Assistant Supervisor reports to the Staff Accommodation Supervisor and liaises frequently with Sunshine and food and beverage teams who have employees or contractors living and/or working in Staff Accommodation.

Job Functions

  1. The primary function of this role is to ensure the Staff Accommodations and people living, and working, in them run smoothly, including scheduling, allocating work, and, when required, carrying out the duties and responsibilities of RAs and the Resort Services/Staff Accommodation custodial teams.
  2. Providing excellent service to all residents, employees, and third parties utilizing Sunshine’s staff accommodation.
  3. Ensuring accurate and complete documentation is received from residents and/or third-party coordinators.
  4. Coordinating available housing, transfers, and completing room inspections on arrival and upon move out.
  5. Adhering to the standards outlined in the Staff Accommodation Licence of Occupation.
  6. Maintaining an inventory of furniture and amenities and replacing as required.
  7. Collaborating with Supervisor, Security, HR, Legal, and Management on tenant issues, treating everyone in a respectful manner while upholding a professional work environment.
  8. Conducting inquiries into tenant incidents, determining the most suitable course of action (often in conjunction with Supervisor and HR), and implementing the solutions and disciplinary measures as necessary.
  9. Maintaining positive working relationships with internal and external stakeholders (primarily, external housing partners, area service providers, cleaning, and maintenance contractors).
  10. Creating and maintaining the Resident Advisor (RA) program, selecting appropriate Advisors from the residents.
  11. Working with RAs and the HR team to organize and possibly attend events and sessions.
  12. Working with Facilities (Building, Electrical, Utilities) on repair, maintenance, and building projects.
  13. Reporting deficiencies to appropriate personnel in a timely manner.
  14. Focusing on a high standard of cleaning and sanitization in all buildings, units, storage, and common areas.
  15. Administrative and Reporting Responsibilities:
  16. Ensuring resident rent is accurately accounted for and forwarding information to Payroll.
  17. Maintaining an accurate record of all residents and forwarding this information to Security for fire safety.
  18. Effectively communicating, supporting, and reinforcing all company initiatives and policy/procedure changes.
  19. Completing documentation of incident reports and investigations, accurately filing all records.
  20. Reporting any potential hazards or safety issues to HS, Facilities, and/or Legal as appropriate.
  21. Standardizing checklists, procedures, and additional documentation for the department, ensuring completion.
  22. This position must always ensure professional, confidential, and helpful service interactions, assisting and supporting with general inquiries, housing issues, and policy interpretation and application.
  23. Other duties may be requested and assigned from time to time.

Experience/Requirements

  1. Proven ability to work as a team player.
  2. Passion for providing outstanding, professional service.
  3. Minimum of two years’ experience within the accommodation, recreation, tourism, or similar industry, with previous supervisory experience preferred.
  4. Current CPR and First Aid certifications are preferred and may be required to meet regulatory requirements.
  5. Completion of training in additional relevant areas for the role may be required or requested, e.g., investigation training, employee health and wellness, fire safety, security functions, cleaning management.
  6. Demonstrated experience with Microsoft Office suite of programs (Word, Excel, Outlook, SharePoint, etc.).
  7. Prepared to work flexible schedules (evenings, weekends, holidays) and stay on-site if required.
  8. Able to remain calm under pressure while consistently meeting deadlines.
  9. Able to work in a confidential capacity and independently, as needed.
  10. Communicate effectively in English, both written and verbally.
  11. Good attention to detail, time management, and organizational skills.
  12. General understanding of building maintenance and cleaning standards.
  13. Must maintain professional conduct when in uniform, acting as a company representative, on and off duty, and online.
  14. Proven ability to implement department initiatives.
  15. Possess safe work habits with an awareness of safe work procedures regarding hazardous activities/actions.
  16. Must be neat, alert, dependable, and punctual.

Additional Considerations

  1. Employees must always be of sound mind, exhibit good judgment, and report to work fit for duty.
  2. This position at times requires the quick ability to switch between seated office work and active engagement through the facilities. Constant motion, rotation, occasional lifting, pushing, and pulling of equipment, and a good level of physical fitness is required.
  3. This role may use hand tools and may be subject to inclement weather. Training is required on certain equipment, items, and procedures.
  4. Occasionally, this role may work at night and in a remote, alpine environment.
  5. Required indoor uniform pieces are provided. Everyone working at the Ski Area must be prepared and wear appropriate footwear, gloves, layers, etc. for the conditions and for their role.
  6. This role is subject to all terms and conditions of the Sunshine Village Employee Handbook and Policy Manual, and the Staff Accommodation Supervisor must be aware of and adhere to relevant standards under those documents, along with the Occupational Health and Safety Act, the Canada National Parks Acts, and the Residential Tenancies Act, where applicable.
