Project Scope:
Project #1: SharePoint 2016 Migration to SharePoint Online (SPO)
This initiative focuses on upgrading the organization's SharePoint 2016 environment to SharePoint Online. Key activities include:
- Engaging with business Migration Leads to guide them on using the Migration Assistance Planner (MAP) tool.
- Coordinating with the Collaboration and Content Management Services (CCS) team to execute move, add, and change activities for SharePoint content.
- Supporting ministry partners in assessing current SharePoint site inventory and defining its future state.
- Identifying sites with exceptions, developing transition plans, and ensuring smooth migration.
- Decommissioning the SharePoint 2016 infrastructure post-migration.
Project #2: Cybersecurity Vulnerability Mitigation Program
- This program aims to reduce cybersecurity vulnerabilities by upgrading Microsoft (MS) servers that are at or near end-of-life support. Key responsibilities include:
- Coordinating with Service Owners to establish planned start and completion dates for server upgrades and decommissioning.
- Scheduling follow-up meetings to track progress and confirm adherence to timelines.
- Ensuring the successful completion of server upgrades to mitigate security risks.
Key Responsibilities:
- Lead the planning, coordination, and execution of IT projects, ensuring timely delivery and quality outcomes.
- Define project scope, objectives, and deliverables in collaboration with business stakeholders.
- Develop and manage project charters, business cases, governance frameworks, and documentation.
- Assign tasks, monitor progress, and facilitate collaboration among project teams, vendors, and stakeholders.
- Identify risks, develop mitigation strategies, and escalate issues as necessary.
- Ensure IT solutions align with business objectives and enterprise architecture standards.
- Prepare and present project status reports, including key milestones, risks, and financial considerations, to upper management.
- Manage multiple projects concurrently, balancing competing priorities.
- Establish and maintain effective communication with project sponsors and stakeholders.
- Oversee the documentation of business requirements, best practices, and project outcomes for knowledge retention and future reference.
Qualifications & Experience:
- Minimum 4 years of experience defining project scope and goals in collaboration with business stakeholders.
- Minimum 4 years of experience developing project deliverables, including project charters and business cases.
- Minimum 4 years of experience in a project management role.
- Strong background in IT project management, particularly in cybersecurity, infrastructure upgrades, and SharePoint migrations.
- Familiarity with Microsoft technologies, including SharePoint, MS Server environments, and cloud-based solutions.
- Experience working with cross-functional teams and external partners in a complex IT environment.
- Excellent stakeholder management, analytical, and problem-solving skills.
- Project Management certification (PMP, PRINCE2, or equivalent) is an asset.
- Knowledge of IT governance frameworks, cybersecurity best practices, and enterprise architecture principles is desirable.
