The employer is a non-profit organization created and run by injured veterans to give critical and immediate help as well as mentorship and long-term support to the newly injured who sacrificed their well-being for the safety of the Jewish people.


POSITION SUMMARY:

  • The Strategic Support Officer plays a pivotal role in ensuring the smooth operation of the COO's office and broader organizational efficiency. This individual is responsible for managing administrative functions, coordinating operational activities, and providing high-level support to the COO and Director of Operations. The role requires strong organizational skills, attention to detail, and the ability to handle confidential information with professionalism.
  • The position is remote, and therefore, the candidate will need to have a quiet place from which to work in a productive way. The candidate will need to be available and online Monday – Friday 9:00am – 5:00pm
  • Evening and weekend work may be required.


DUTIES AND RESPONSIBILITIES

Administration

  • Answer and direct inquiries, coordinate meetings and calendars, and run the day-to-day administration of the organization as needed.
  • Coordinate and prepare materials for meetings, presentations, and reports.
  • Maintain and organize files, documents, and records for easy access and retrieval.
  • Oversee organizational systems for efficiency, including filing systems and workflow processes.
  • Manage relationships with external vendors, service providers, and partners as needed.
  • Serve as backup for the finance administration team if and when required.


Event and Meeting Coordination

  • Schedule, organize, and manage logistics for internal and external meetings, including board meetings, staff events, and special projects.
  • Record, distribute, and track meeting notes, action items, and deadlines.
  • Coordinate travel arrangements for the COO and other staff as needed.


Project Management and Operations Support

  • Support the COO in the execution of operational initiatives, including research, analysis, and follow-ups.
  • Assist in monitoring organizational workflows and identifying opportunities for improvement.
  • Prepare and track budgets, invoices, and expense reports in collaboration with the Director of Operations and Finance Supervisor.


POSITION QUALIFICATIONS

  • Minimum five years’ experience in supporting operations and senior leadership.
  • Ability to evaluate overall performance by gathering, analyzing and interpreting data and metrics.
  • Commitment to the organization's mission and values, with a passion for social impact and community development.
  • Excellent interpersonal skills including flexibility and a positive attitude.
  • Excellent decision-making, problem solving, conflict management and time management skills.
  • Demonstrated ability to work as part of a team and to work with minimal supervision.
  • Proficiency and a high comfort level with technology and the ability and interest to learn new technologies.
  • Excellent oral and written communication skills.
  • Knowledge of diverse nonprofit functions and principles (e.g. fundraising, governance, regulations, stewardship, etc.) is an asset.
  • Familiarity with nonprofit CRM, fundraising platforms, and other relevant software – an asset.
  • Ability to observe strict confidentiality.
