Responsibilities
  1. Assist with the preparation of customer quotations, warranty claims, invoice prep, and overall work order administration (opening, closing, and maintenance)
  2. Clarify and revise technician service reports before they are entered into the system
  3. Perform LiDAT system maintenance and updates, update LISA system with Service Checks and history of all machines while under warranty
  4. Maintain and continue to update the Machine File for all new units
  5. Answer customer phone calls and emails as required
  6. Liaise with customers for purchase orders and to provide repair timelines as needed
  7. Prepare purchase orders for vendors and follow up on deliveries as needed
  8. Assist with arranging equipment shipping and transport as needed
  9. Assist with MARC/PM spreadsheet and monthly invoicing
  10. Liaise with Parts regarding requirements for specific jobs, ordering, shipping, etc.
  11. Maintain effective, accurate reporting, data management, and record keeping
  12. Assist and backfill for other service team members in their absence
  13. Other duties as assigned
Competencies
  1. High school diploma or equivalent required; Business Administration Degree or equivalent is a plus
  2. 2+ years experience in administration, purchase orders, and customer service is an asset
  3. Strong organizational skills and excellent customer relations
  4. Dynamic team player with a positive attitude
  5. Ability to interact and communicate professionally at all levels of the business and with customers
  6. Proficiency with computer systems; Word, Excel (MS Office package)
  7. Experience with systems such as Baan or SAP is an asset
  8. Detail-oriented with strong organizational, verbal, and written communication skills
  9. This position follows a Monday to Friday schedule, office environment 5 days per week
